What you can do

Give the quote a clear commercial home

A Quote Specialist needs to know which customer is buying and which organization is preparing the offer. Start with the customer code, contact and address. The eligibility note explains any condition the team should consider before quoting. Check the customer’s Active setting and organization reference before using that record in a new offer.

App Administrator maintains the customer directory and operating organizations. Each organization carries its own currency and time zone. Those details help the team agree how an offer is prepared and how its validity will be interpreted. The quote also records its organization, so the specialist can check that the customer belongs to the intended scope before adding commercial detail.

How the work is organized

  • Customer identity. App Administrator maintains a recognizable code and name with the contact information. The Quote Specialist reads the eligibility note before deciding which customer record belongs on the offer.
  • Organization context. The organization reference identifies the operating business. Check it when customers with similar names buy through different entities or locations.
  • Team membership. App Administrator maintains active team members and their organization membership. The quote owner should be a person the team can identify and contact when a revision needs attention.

What to agree during setup

Agree how customer codes distinguish legal entities from trading names. Decide who can change eligibility notes and how the Quote Specialist learns that a customer’s quoting conditions have changed. A short note should identify a useful action, such as confirming the delivery address, rather than leaving the next person to interpret a vague warning.

Set organization access and member identities before importing a customer list. Confirm how the team uses organization currency alongside the quote’s USD pricing. Agree the time zone used when interpreting the validity date, especially when the specialist and reviewer work in different locations. Test customer and owner selection using the specialist’s normal account so the expected references are available during preparation.

Check the handoff on an actual case

Prepare an offer for a customer expanding a regional data center. The directory contains a parent company and a purchasing subsidiary with similar names. App Administrator checks the code, address and organization for the subsidiary. The Quote Specialist reads the eligibility note and chooses that record as the customer on the draft quote.

Ask the Pricing Reviewer to open the offer and explain which business is buying and which organization is issuing it. Then use a customer marked inactive in the rehearsal and check how the configured preparation procedure handles that selection. Resolve the directory condition before continuing. This exercise gives the team a concrete way to check identity and eligibility before a rack configuration or price is discussed.
