What you can do
Carry the accepted offer into the next system
Customer acceptance addresses an approved quote that is still valid. Quote Specialist records the customer’s instruction through the guarded action, which checks the approved revision and validity before moving the quote into Accepted. The acceptance date remains with the quote so the commercial team can identify when that offer became accepted business.
The accepted quote and its protected lines form the handoff basis. Quote Specialist requests transfer to the downstream order connection using the accepted revision. An operation receipt records the handoff request and its outcome. Connect the customer’s order system during implementation so a completed handoff can carry a genuine reference to the downstream effect.
How the work is organized
- Customer instruction. Quote Specialist checks that the customer’s acceptance matches the approved offer and attaches relevant evidence to the quote. A change requested by the customer needs the authorized correction process before it becomes the accepted commercial basis. Keep the review decision and acceptance instruction readable together.
- Stable handoff identity. The handoff uses an operation key tied to the quote and revision. A repeated request for that same accepted revision must resolve through its existing operation evidence. Check the receipt before retrying after a slow response so the team understands whether the request is still pending or has a recorded effect.
- Downstream confirmation. The order connection supplies real completion evidence and an external reference. Until the connection can provide that result, the operation remains Pending. Quote Specialist and Auditor follow the receipt’s state, failure reason and effect references to understand what happened after acceptance.
What to agree during setup
Choose the order system that receives the accepted machine quote and name the person responsible for its connection. Agree the customer and product-code mappings with that system’s owner. Decide which downstream response is sufficient completion evidence and how the team investigates a receipt that needs review.
Confirm where the customer acceptance evidence belongs and who can share it. Keep downstream production planning and invoicing with the connected system’s process. A handoff receipt should give the team a traceable transfer result rather than a new commercial decision.
Check the handoff on an actual case
Use an Approved quote within its validity period. Quote Specialist records the customer’s acceptance of the current revision and checks the acceptance date. Compare the line amounts with the approved offer before requesting the handoff.
First rehearse with the connection unavailable. Confirm the receipt remains Pending and has no invented external reference. Then connect a controlled order destination and inspect the real response. Send the same handoff request again and verify that the operation key resolves to the existing evidence without creating another downstream effect. Ask Auditor to follow the accepted quote through to the returned order reference.
What your team sees
- Accepted Quotes — Read accepted customer offers with their revisions and acceptance dates.
- Open Operation Receipts — Investigate pending handoffs and failed or disputed operation outcomes.
- Completed Operation Evidence — Trace completed actions to their recorded effects and external references.
