What you can do

Start the quote with the right customer

A machinery quotation starts with an eligible customer and a selling organization. Quote Specialist needs the account’s contact details, delivery address and eligibility note before preparing a commercial offer. App Administrator maintains that account and its active state. The quote then carries the customer relationship through pricing, review and acceptance.

Team membership gives the quote a responsible owner. Each member belongs to an organization and links to a user account. Their role and active state determine how the team should assign work during setup. A reviewer can read the commercial evidence within the authorized scope without becoming the person who prepared it. Customer maintenance and commercial approval have different owners.

How the work is organized

  • Customer eligibility. App Administrator records the customer name, code, contact and address, then maintains the active state and eligibility note. Quote Specialist checks the account before starting the draft. When the customer changes a delivery address, resolve the account information before preparing the next offer so the reviewer has a clear commercial context.
  • Selling organization. The customer and quote belong to an organization with its own code, time zone and operating currency. Keep the account in the organization that will sell the machine. Quote pricing uses USD amounts; agree how the organization reads those amounts alongside its currency setting during implementation.
  • Accountable membership. App Administrator maintains active team members and their user links. Quote Specialist owns preparation, while Pricing Reviewer supplies the independent commercial decision. Auditor follows authorized evidence. Reassignment needs a deliberate check of organization scope and reviewer independence before the next protected action.

What to agree during setup

Agree which customer codes identify existing accounts and who may change eligibility. Decide how the team handles an inactive customer with an unfinished draft. Map each user’s membership to the selling organization and confirm the correct time zone for validity checks. Set administrative access with Admin, and keep the business reviewer responsible for approval decisions.

Use a small customer import first. Verify the contact, address and organization references before loading quote records. Keep duplicate account resolution with App Administrator; Quote Specialist should have an unambiguous account to select.

Check the handoff on an actual case

Rehearse a machinery sale where a customer is active in the selling organization and a Quote Specialist owns the draft. Confirm that the customer contact and eligibility note are visible in the authorized account screen. Assign an independent Pricing Reviewer and inspect the quote’s customer and owner before submission.

Then repeat with a customer from a different organization. The team must resolve the scope mismatch before the protected pricing action can proceed. Also try an inactive team member as the acting user and verify access with the implementation team. Keep the result with the access rehearsal.

What your team sees

  • Active Customer Accounts — Find eligible accounts and check the customer contact, address and selling organization before drafting.
  • Organization Membership — App Administrator checks active members, their user links and role assignments.
  • My Draft Quotes — Quote Specialist follows assigned drafts and their validity dates.
