What you can do

Preserve the reason for the commercial action

A quote can need correction before or after customer acceptance. Quote Specialist gathers the relevant evidence and requests the authorized correction route. Draft work can follow the cancellation procedure for unexecuted scope; accepted scope requires a reviewed compensating action that preserves the original decision history.

For example, the customer may report that the accepted license term should have been shorter. The team needs to identify the accepted revision and its evidence before deciding how to compensate for that error. Replacing the original lines or deleting the acceptance history would make the earlier commercial decision difficult to explain.

How the work is organized

  • Attachment context. Each file belongs to a quote and records its title, evidence type, uploader and upload date. Use that context to make the purpose of the attachment clear to the next reviewer.
  • Visibility scope. Internal and Shared distinguish the intended scope of an attachment. Confirm access before using customer-facing evidence, and keep internal review material within its authorized audience.
  • Correction authority. Quote Specialist requests the change within authorized scope. Pricing Reviewer approves a compensating action for accepted work; operation receipts preserve the resulting attempt and its evidence references.

What to agree during setup

Agree what evidence types the team will use and how titles identify the commercial question. A customer response, pricing justification and technical requirement serve different purposes. Make those purposes clear enough that Pricing Reviewer can find the material relevant to the decision without opening every file.

Define the correction policy for draft and accepted scope. Establish which changes require compensation and how any downstream order effect will be reconciled. The original quote history must remain available. Also agree how visibility is enforced when an attachment is opened directly, because a label on a file alone does not establish its audience.

Check the handoff on an actual case

Attach a customer requirement as Shared and a pricing justification as Internal to the same quote. Confirm that each authorized person can access the material appropriate to their task and that internal evidence is not exposed through the customer handoff. Pricing Reviewer should be able to identify who uploaded the file and why it matters.

Next, request a correction to an accepted equipment offer. Follow the review of the compensating action, retain the original accepted revision and examine the operation receipt for the correction. Retry the original correction request and confirm that it refers to the same recorded outcome.

Finally, rehearse cancellation of unexecuted draft scope. Verify that the cancellation procedure does not erase the record of an already executed action. Ask Auditor to explain the original decision and the subsequent correction from the retained evidence. If the external effect remains uncertain, continue through reconciliation before treating the correction as complete.

What your team sees

  • Internal Quote Evidence — Internal supporting files with upload attribution and their parent quote.
  • Shared Quote Evidence — Attachments designated for the agreed sharing scope.
  • Review Decision History — Revision-specific reasons behind the commercial decisions.
