What you can do
Set the operating context
Teams hold the organization name, code, time zone, currency and active state. Team members connect a platform user to a team and carry a role name and time zone. Venues have a contact, address and eligibility note and belong to a team. These records give fixture planning a clear owner and counterparty.
A coordinator picks an active team, owner and venue when preparing a fixture. That choice should reflect who will operate the event rather than just a familiar name. Member and venue records can be reviewed before they are used for a new fixture. The venue address and contact help staff plan the day; the eligibility note captures the local suitability context.
A venue can be available yet unsuitable for a particular event. Read its eligibility note and contact details while making the assignment. Keep the event owner explicit, since staff need one person to resolve late changes. If an operating team spans time zones, review the local date and time with the member responsible for the venue before sharing the schedule. A clear owner also gives reviewers a person to contact when fixture details are returned.
How the work is organized
- Name the operating team. Keep its code and time zone consistent in staff handoffs.
- Confirm membership. Link each active staff member to the correct platform user and team.
- Maintain venue details. Review contact, address and eligibility information before scheduling.
What to agree during setup
Agree who owns team and venue maintenance and when inactive records are retired from new work. Decide how a member’s role name maps to the association’s operating responsibilities. Time zone choices should be settled before publishing the fixture calendar, especially when teams coordinate across regions.
Check the handoff on an actual case
A coordinator plans a fixture at a venue used by the association. The venue record supplies the contact and address, while the team record identifies the operating organization. The fixture owner is a member of that team. If the venue becomes unavailable, the coordinator updates the fixture at a new revision and routes the change for review. Registrations and admissions remain linked to the fixture rather than being copied to another event.
Before the next match is scheduled, Admin can check whether the team, member and venue are still active. The coordinator then checks the venue contact and the member’s time zone with the people who will staff the event. A changed venue goes back through fixture review at its new revision.
