What you can do

Give the reviewer a specific test-drive request

A test-drive request belongs to a customer opportunity and dealership organization. Relationship Owner prepares the VIN, intended start time, license-verification indicator and odometer reading as appropriate for the request. The record has its own revision and status, allowing the reviewer to distinguish a Draft request from one submitted for a decision.

Sales Manager independently reviews the submitted request. Approved and Rejected describe the decision, while Completed is a later operating outcome. Approval should refer to the exact vehicle and request the manager considered. Confirm vehicle availability through the dealership’s agreed handoff before promising the drive to the customer, and use the vehicle system that owns availability when a connection is needed.

How the work is organized

  • Customer and vehicle. Link the request to the intended opportunity and organization, then identify the vehicle by VIN. Confirm the customer’s inquiry and vehicle selection together before arranging the visit.
  • Visit preparation. Enter the start time using the agreed dealership time convention. Record the license-verification result and odometer reading in a way the manager can interpret during review.
  • Independent decision. Submit the prepared request for Sales Manager’s review. Keep the decision attached to the current request revision so a changed vehicle or start time cannot quietly reuse an earlier authorization.

What to agree during setup

Agree who verifies the driver’s license and what the verification indicator means in the dealership’s operating procedure. Decide how staff confirm that the identified vehicle is available and how they communicate a changed start time to the customer. If another dealer system owns vehicle availability or the visit calendar, establish that handoff before staff rely on the request list.

Set the procedure for documenting completion after the drive and for correcting a request that has already been reviewed. Explain which changes require another decision and who checks any action that remains pending. Use the start list to inspect submitted and approved requests, checking the date before treating a visit as upcoming. Coordinate the vehicle’s actual use through the agreed operating process.

Check the handoff on an actual case

Prepare a Draft request for the hatchback prospect with the selected VIN and a Friday morning start. Relationship Owner records the verification information and confirms vehicle availability through the agreed procedure. Submit the request and ask Sales Manager to review it independently. Compare the approved request with the vehicle and time discussed with the customer.

Change the rehearsal request after the manager has opened it, then try to approve the older revision. The action must stop for a fresh review. Also test a request whose organization does not match the user’s authorized context. After a valid decision, rehearse the completion handoff and inspect the retained decision evidence. Keep a rejected request visible so the team can explain why that particular drive was not authorized.
