What you can do

Review and Evidence in daily work

A review decisions record ties a manager review to a particular opportunity revision. Its decision can be Approve, Reject or Return, and its reason, date, reviewer and operation key remain with the parent opportunity. Record attachments carries a title, evidence type, visibility, upload date and uploader. Internal and Shared are the available visibility choices. Together these records let an Auditor inspect the decision and the material available at that point.

The decision points to the opportunity revision under consideration. A later change to the parent should lead the reviewer to compare revisions before relying on the earlier decision. Attachments keep supporting files linked to the same opportunity, with an explicit visibility choice.

How the work is organized

  • Prepare. Relationship Owner keeps the opportunity revision and supporting attachments current.
  • Inspect. Sales Manager reads the revision, earlier decisions and the evidence linked to the opportunity.
  • Decide. The person granted decision authority during setup records the outcome and reason for that revision.

The team should use one parent opportunity for one prospective engagement. Related activities, intake requests, review decisions, attachments and operation receipts refer to that parent. This makes a later handoff easier to follow: the recipient can open the opportunity and then inspect the specific record that explains the next action.

What to agree during setup

Agree which revisions require an independent review, what belongs in the reason, and when an attachment should be Shared. Pick a real prospective engagement for the first rehearsal. Decide who may make routine corrections, who records a review result and how the team handles a returned or rejected item. Keep those decisions in the operating procedure so an owner does not have to infer them from a status label.

Also decide how the team names records and documents. A short, descriptive subject or title should identify the matter without relying on a private message thread. Confirm which organization the record belongs to before the first import, then test access with the same user accounts the team will use in daily work.

Check the handoff on an actual case

Suppose the owner updates the scope and expected value on a prospective matter. After decision access is assigned, the reviewer records a result for that opportunity revision and explains a Return if more information is needed. The owner adds the requested file as an attachment and identifies its visibility. A later review refers to the later revision, leaving the earlier reason visible to the audit team.

Ask the receiving teammate to find the current state from the record itself. They should be able to identify the owner, the next decision and the history behind it. If an attachment, intake or receipt changes the interpretation, open that child record rather than summarizing it from memory. This rehearsal exposes ambiguous ownership and missing operating conventions before the team expands to more matters.

What your team sees

  • Review decisions by outcome — Approve, Reject and Return decisions with reviewer, reason and source revision.
  • Shared opportunity evidence — Files marked Shared, linked to their parent opportunity.
