What you can do
Constituent relationships
A constituent is the organization the development team is cultivating. The record keeps its name, segment, status, primary contact text, eligibility note and potential giving amount beside the operating organization that owns the relationship. Contacts are separate people linked to that constituent. Their role can identify a decision maker, influencer, gatekeeper or end user, and their influence notes give the relationship manager context before another conversation. Relationship Overview brings engagement recency, funding pipeline and open follow-ups into one portfolio view.
How the work is organized
- Keep the organization clear. Each constituent belongs to an operating organization. Agree who owns the relationship and keep the constituent code stable across imports.
- Separate people from accounts. Add contacts to the right constituent, and retain their individual role and contact details even when the constituent status changes.
- Use status as a work signal. Prospect, Active, Payment Hold and Lapsed are constituent states. Review the state before pursuing another ask.
What to agree during setup
Decide how the team distinguishes a foundation from a corporate or community funder, and who changes a constituent from Prospect to Active. Agree when Payment Hold should stop new outreach and how the eligibility note is maintained. Check duplicate codes and contacts in a small import. A manager should also decide whether the textual primary contact matches the linked contact used on each opportunity, because those are separate pieces of information.
Check the handoff on an actual case
A local foundation is entered as a Prospect with a named primary contact and an eligibility note about its giving focus. The relationship manager adds the program officer as a contact with Decision Maker as the role, then opens a funding opportunity linked to the foundation. When a follow-up is due, the owner can see the constituent and the opportunity together. If the foundation changes staff, update the contact without losing the opportunity, pledge or earlier activity. Review the Relationship Overview to see the last engagement and the next open task before writing again.
For the first review, place the constituent record beside its contacts and one open opportunity. Check that the account link points to the organization the team actually knows. If a new contact arrives, update the person record before assigning another proposal conversation.
