What you can do
Funding case
The opportunity records the total expected value; funding case lines explain what the team is asking the constituent to support. A line holds a funding item, quantity, unit amount and optional adjustment percentage. The funding type can identify a restricted gift, program funding, operating support, capital and equipment, capacity building or in-kind support. A line may also point to a funding programs record when the ask corresponds to a maintained program or service.
How the work is organized
- Build from the opportunity. Every case line belongs to one funding opportunity, so the ask stays with its owner and constituent.
- Use the funding type. Classify the nature of the ask before preparing the proposal; the wording informs review of the case.
- Keep program context current. Programs hold a name, SKU, list amount, category and active flag under an operating organization.
What to agree during setup
Agree who maintains program records and list amounts, and when a proposal coordinator can use a program rather than a free-form funding item. Decide how adjustment percentages are explained to the development director and who reviews the sum of lines against the opportunity’s expected value. Confirm that restricted gifts and operating support are described in terms the funder will understand. The line amount is a planning input; the eventual pledge has its own gift amount and decision.
Check the handoff on an actual case
For a foundation considering a youth program, the proposal coordinator adds a program-funding line for the planned sessions and an operating-support line for coordination. Each line carries a quantity and unit amount. The director compares the case with the opportunity’s expected value before proposal submission. If the foundation narrows the scope, edit the affected lines and update the opportunity’s next step. Keep the original conversation in a follow-up outcome and attach supporting material to the opportunity so the reviewer can see why the ask changed.
The team should open the parent opportunity before treating this screen as a complete account of the case. Compare its owner, constituent and current status with the linked records, and resolve any disagreement while the conversation is still recent.
On a revised ask, inspect the opportunity and all its case lines together. The coordinator should explain which funding item changed, whether quantity or unit amount moved, and whether the proposed purpose still matches the constituent conversation. Record the next review as a follow-up.
