What you can do
Start with the healthcare account
A representative begins with the practice, clinic or hospital that the team works with. The account has a name and code, a contact name and address, and an organization that owns the record. City and state help the field team find the right place. The account status distinguishes a prospect from an active relationship, an inactive account or an account on credit hold. A manager can review annual potential alongside the current opportunity book, without treating the estimate as booked revenue.
How the work is organized
- Identity. Keep a consistent account name and code before adding contacts or opportunities, so the same site does not split across records.
- Coverage. Use the account’s organization and location to keep a representative’s work tied to the right business unit and healthcare site.
- Condition. Record status and the eligibility note when the account is assessed, then revisit those facts before a field visit.
What to agree during setup
Decide how a hospital system, its clinics and individual practices should appear as account records. This model has an account record with address, city and state, so the team needs a naming rule that makes each record recognizable. Agree who may change account status and who maintains the eligibility note. Set the meaning of annual potential in dollars before managers compare it across accounts. The segment values are Enterprise, Mid-Market, SMB and Public Sector; choose them consistently for the customer base.
A representative covering a practice in two cities should check whether each address needs its own account record. The team can then attach the right contacts and opportunities to the account actually visited. A contact links directly to an account, and an opportunity uses the account as its counterparty. That chain lets the team understand who was contacted and what commercial work followed.
Check the handoff on an actual case
Take a new clinic. The representative creates the account as Prospect, records its address and primary contact name, and adds the people they meet as contacts. When a potential deal emerges, the representative opens an opportunity with the clinic as counterparty and assigns an owner. The manager can then see the account in Accounts to Develop, inspect its expected opportunity value, and decide whether the account is ready to move to Active. If a visit follows, its record can point back to both the account and the opportunity.
Before the team relies on that path, rehearse an account with a similarly named clinic nearby. Confirm that staff select the correct account when adding contacts, opportunities and visits. An incorrect link can make a visit appear under the wrong practice even when the visit details themselves are complete.
What your team sees

Follow the work through
Continue through account and opportunity work and visit preparation. The data model shows the account references used by both paths.
