What you can do
Keep the decision with the record
A reviewer decision is a record tied to an opportunity and optionally to a sample visit. It names the reviewer, date, decision and source revision, with a reason when explanation is needed. Approve, Reject and Return are the decision choices. The visit itself carries its status. The reviewer records the decision and updates the visit status separately, so both records tell the same story. A reader can follow the visit back to the opportunity and healthcare account.
How the work is organized
- Decision. Sample Reviewer examines a submitted visit and creates a decision with the current revision and a clear reason.
- Attachment. Staff link a photo, document, signature, receipt or note to the relevant visit or opportunity.
- Receipt. Qualification writes an operation receipt on the opportunity, preserving when the action ran and its result.
What to agree during setup
Agree which reviewer is responsible for a submitted visit and what evidence the reviewer expects. Define how the source revision is checked when a visit changes while review is under way. The Independent flag on a decision can record whether the review was independent; decide when staff should set it and who verifies it. The review record also requires an opportunity link, so a visit decision must be attached to the opportunity that contains the visit.
Attachments have a title, kind and optional URL, capture date and notes. Agree whether the team stores an accessible reference URL or a descriptive note for each supporting item, and how long the referenced material remains available to authorized staff. Keep titles specific enough that a reviewer can identify the right item from the visit. Operation receipts use operation key, recorded date, type and status. The configured qualification action is the point where a receipt is written as part of the workflow.
Check the handoff on an actual case
A representative submits a sample visit after recording a practitioner’s name, quantity and lot number. The reviewer opens Submitted Sample Visits, examines the visit and its attachment, and notices a quantity that needs checking. They record a Return decision with a reason and the visit revision, leaving the visit Submitted. After the representative corrects the entry, the reviewer can examine the current visit and make a new decision. A later reader sees the sequence of decisions instead of just the final visit status.
Now take a qualified opportunity for the same clinic. Sales Manager opens Qualification Receipts and sees the operation tied to the opportunity. The receipt supplies an action date and result; the associated activity shows that qualification work was logged. The reviewer and manager can each inspect the evidence relevant to their decision without using a separate spreadsheet of visits or a copied list of pipeline changes.
