What you can do

Bookings in the daily work

A booking record carries the customer order. It holds the customer and contact, source quote, photographer, studio manager, requested delivery date, value and fulfillment route. Its status moves through draft, submission, approval and later production, allocation, picking, shipping, invoicing and closure. The order record therefore connects the sales decision to delivery and billing work.

How the work is organized

  • Check. Check the source quote, customer and order value before submission.
  • Assign. Assign both photographer and studio manager to the order.
  • Review. Review the requested delivery date and fulfillment route before approval.

What to agree during setup

Agree what evidence the manager needs to approve an order and how credit hold is handled. Decide which products use stock, make-to-order or drop-ship fulfillment. A session product and an album may have different delivery work, so the team should review each booking item and its promise date. Finance Manager should agree when an invoice is issued and which order and shipment evidence it needs.

Studio Manager should agree what order value and delivery date require review before approving a submitted booking. For a session with an album, identify which line is a service and which physical item needs fulfillment. Check the route on the booking and each item’s promised date before committing to the customer. Finance Manager should decide when the linked invoice is prepared and how its customer and source order are checked. A credit hold needs its own decision before approval.

Check the handoff on an actual case

A customer accepts a session and printed album quote. The photographer checks the selected client and accepted quote, enters the requested delivery date and submits the booking. Studio Manager reviews the value, assigned photographer and delivery route, then approves the order. The album may move into production and later shipping, while the service line follows the agreed order treatment. The manager uses the booking status to check progress and Finance Manager uses the linked invoice to inspect billing.

Open the booking created from the accepted session and album quote. Photographer checks the client, contact, source quote, assigned people, value and requested delivery date before submission. Studio Manager compares those details with the accepted revision and records the approval decision. For the album, inspect the item’s shipped quantity and any linked shipment before closing the order. Finance Manager traces the invoice to the same customer and booking and checks the billed state.
