What you can do
Preserve the conversation behind the decision
Relationship Owner records a call, meeting, email or task against the selected opportunity. The outcome explains what happened and why it matters to the next commercial step. The activity action assigns the next line number and current revision, giving the team an ordered trail of evidence under the same parent.
Qualification and outcome checks use these activities as evidence. An empty outcome cannot support that work, and the activity action refuses closed opportunities. Use the controlled correction path when an executed case needs attention rather than appending an unrelated new activity to alter the apparent history.
Attachments keep supporting files with the opportunity. Their evidence type, uploader and upload date help Sales Manager identify what a file represents. Internal or Shared visibility must be chosen deliberately; a file suitable for an internal review can contain information that should not be shared with another participant.
How the work is organized
- Recorded activity. Relationship Owner supplies the activity type and a nonempty outcome. Due and completed dates help distinguish planned follow-up from the activity already performed.
- Supporting documents. Files are attached to the same opportunity with an evidence type and visibility. The uploader remains linked to the real team member who supplied the document.
- Review context. Sales Manager reads the activity and attachment evidence when deciding an eligible revision. Auditor can follow the same parent relationship without changing the record.
What to agree during setup
Agree what makes a useful call or meeting outcome. It should explain the customer’s request or decision in language another authorized colleague can understand. Decide how to record a next task and when its completed date should be supplied, so an overdue date is not mistaken for an unfinished activity that already happened.
Choose evidence-type wording for qualification, visit feedback, proposal scope and customer outcome documents. Agree which files may be Shared and who checks their contents. Shared visibility retains the opportunity’s access boundary; it is not a request to publish customer documents openly.
Check the handoff on an actual case
Use the buyer’s first call to record the search requirement and the next agreed contact. Add a task with a due date, then log the later meeting outcome under the current opportunity revision. Sales Manager should be able to explain the qualification evidence from the activity trail without consulting a separate conversation.
Try an empty outcome and an activity request on a Won opportunity as separate negative cases. Both should be refused by the action. Rehearse a file uploaded for proposal review, checking its evidence type and visibility from the authorized participant’s account.
Finally, inspect Activity Due Dates after a task’s completed date is recorded. The dated history keeps that completed entry alongside activities still awaiting work. Use the completion date to decide which customer follow-up remains outstanding.
