What you can do

Begin with the party record

Sales Rep starts with the subscriber account. The account carries its name, account number, customer or vendor type, addresses, payment terms and account owner. A company that is both a customer and a supplier can remain one party. That choice matters when a buyer is also supplying products for a curated box. The account owner should be clear before a contract or order is prepared.

A contact belongs to the subscriber. The team can identify the buyer, decision maker or accounts payable contact, keep a primary person current and preserve the source lead when a contact comes from a sales inquiry. The account and contact should be reviewed together whenever a customer reports a new delivery or billing address.

How the work is organized

  • Account ownership. Assign the person who handles commercial follow-up and make the customer relationship visible to the next team.
  • Contact roles. Keep the buying and billing people attached to the same subscriber so an order can point to the right person.
  • Active parties. Review whether an account and its contacts remain active before using them for a new cycle.

What to agree during setup

Agree how customer and supplier records are distinguished, who can change shipping and billing details, and which team owns the primary contact. Decide how an existing party is found before creating another account. Use a real subscriber whose buyer and accounts payable contact are different people to test the rule. Also decide when a changed address must be reflected on an open order.

Check the handoff on an actual case

Take a subscriber whose first contract is about to start. Sales Rep confirms the account owner, contact role and delivery address. Subscription Manager checks the contract against the same account. Fulfillment Lead reads the order’s subscriber and shipment destination before packing. Finance Clerk uses the linked account when reviewing the invoice. If the customer’s buyer changes, update the contact while retaining the account and its existing commercial history.

The account can carry credit terms and a hold indicator. A sales manager should resolve a credit concern before approving another submitted order. The relationship team should be able to explain which account was used for the order and who made the approval decision.

What your team sees

  • My Subscriber Accounts — Accounts assigned to the current owner, with active state and party type visible.
  • Active Subscriber Contacts — Named contacts and their roles for day-to-day follow-up.
