What you can do

Keep an opt-out visible across the nurture portfolio

Suppression records keep the lead and email address together with the reason, request source and timing. The team can distinguish an opt-out from a hard bounce, spam complaint or administrative suppression. Program attribution helps explain where a request arose, while the local lead link connects the request to the person enrolled in marketing journeys.

The suppression rule applies globally: a recorded suppressed lead must not receive email from any program. The request’s scope retains its original context. A program’s re-entry choice and the lead’s continued presence on a list do not override the restriction. Marketing Systems Admin coordinates the suppression setup, while Marketing Operations checks the enrollments affected by the request.

How the work is organized

  • Record the request. An email-link opt-out records the lead, email, reason and occurrence time, then records when it was honored locally. Keep the source identity together through provider mapping so the request applies to the intended lead.
  • End affected work. Suppression handling exits the lead’s Active enrollments with the Suppressed outcome. Inspect other enrollment states during the same rehearsal. Global send and re-entry checks must continue to honor the restriction even when the lead remains on an audience list.
  • Check responsibility. Match business user identities to their access records and actual permission roles. Test the actions assigned to Marketing Systems Admin and the history available to Marketing Operations. A role label on a profile should agree with the permissions the account actually has.

What to agree during setup

Marketing Manager agrees the contact policy, including how the team handles a request that arrives through a reply or an administrative channel. Marketing Systems Admin coordinates the source connection and access setup. Marketing Operations identifies the affected enrollments and checks their outcomes. Assign responsibility for an unclear lead identity before a live request needs attention.

Connect the email-send service’s suppression confirmation and agree how to reconcile it with the request record. Review the recorded time alongside the provider’s acknowledgement during the pilot. Test Sales Rep access to the marketing evidence for its own leads and attempt access to another lead’s restricted history. Sales Manager should review those results before follow-up work opens to the team.

Check the handoff on an actual case

Use a test lead enrolled in Active programs and present on a marketing list. Send an opt-out and inspect its lead identity, source and request time. Follow each affected Active enrollment to Exited with the Suppressed outcome. Check the provider confirmation against the same request so the operator can trace the restriction beyond the local record.

Attempt a later enrollment in a program that permits re-entry, then attempt another email action. Both must honor global suppression. Leave the list membership visible during the test so the team can see that audience eligibility does not remove the restriction. Finally, use ordinary role accounts to review the request and investigate a member. Confirm that those responsibilities match the agreed access before opening the next cycle.
