What you can do
Know which load the dock is handling
Inventory Clerk records the load number, carrier and current state so the team can recognize the work arriving at the dock. Dock door and seal details give staff practical context for checking the vehicle and its paperwork. An arrival date records when the load reached the operation, while the load state follows the observed handling progress.
Load stops add a sequence, location and appointment date. These details help the team discuss an arrival that affects outbound preparation or a stop that has been missed. Keep the load record current as the physical work changes, and use the associated operating documents to coordinate the stock requests that need attention.
How the work is organized
- Load identity. A recognizable load number and carrier name help staff distinguish simultaneous dock work. The clerk maintains the dock door and seal details that the receiving or dispatch team needs to check.
- Appointment sequence. Each stop belongs to a load and identifies its location, sequence and appointment date. Planned, Confirmed, Arrived, Completed and Missed states explain where the stop stands.
- Observed progress. Scheduled, Arrived, Unloading, Loaded, Departed and Cancelled load states describe physical activity. Update them when the event is observed and inspect stock movements separately when confirming quantity effects.
What to agree during setup
Agree how load numbers correspond to the carrier’s paperwork and who maintains the record when plans change. Decide how the team communicates a dock-door change so the saved information remains useful to the person handling the load. Establish who confirms the seal details and arrival date.
Use a consistent stop sequence and location code. Agree what Planned and Confirmed mean in the operation, and how staff respond to a missed appointment. A date needs an operating procedure for the actual arrival discussion. If a transport or carrier system supplies the appointment information, define that connection and its update owner before relying on it during a busy shift.
Check the handoff on an actual case
For a rehearsal, choose an incoming load whose arrival affects stock needed for outbound work. Record its carrier, dock door and planned stop at the receiving location. Have another clerk find the load from its number and explain the expected location and sequence. Update the stop to reflect a confirmed arrival or a missed appointment.
Then prepare the relevant stock request using the agreed operating documents. Record the physical progress on the load and inspect the stock request’s posting evidence separately. The Inventory Supervisor should be able to explain whether the vehicle has departed and whether the requested stock effect has been recorded. Test a changed appointment so staff know which record to update and who must receive the operational follow-up.
