What you can do
Keep additional activity attached
The outlet activity records sit beside the main booking. An additional booking has a type, name, date and participant count. A separate outlet charge on the same booking has an amount, unit, date and draft, posted or voided state. Front Desk Agent submits the activity and charge evidence; Finance Officer manages the charge record; Operations Reviewer examines evidence before an eligible outcome.
The link back to the booking matters more than a matching member name. It gives the team the same reservation context for a room, venue, table or other resource and the additional activity that occurred during it. A later charge review can identify exactly which booking the amount belongs to.
How the work is organized
- Activity booking. Capture the selected type, name, date and participants against the chosen booking.
- Charge evidence. Front Desk Agent submits the outlet amount and date against that same booking for financial handling.
- Review. Examine the draft charge before posting or voiding it.
What to agree during setup
Agree what each available activity type means for your operation and which desk staff may capture it. The activity’s participant count should be checked against the service being offered; it is not a substitute for the main session’s capacity check. Finance Officer needs a policy for when an activity becomes a charge, how its amount is explained and what evidence Operations Reviewer examines. Agree when a charge should be voided and how that decision affects the member’s folio.
Keep the outlet charge and the main folio line distinct until the reconciliation rule is clear. A posted outlet amount may need a corresponding folio line or another accounting treatment; decide this before comparing the booking’s final balance. The record link lets Finance Officer inspect the activity without counting it twice.
Check the handoff on an actual case
A member with a confirmed stay books an additional group activity. Front Desk Agent selects the existing booking, records the activity date and participants, then checks that the linked booking is the intended one. Front Desk Agent submits the amount and source evidence against the same booking. Finance Officer prepares the outlet charge as a draft. Operations Reviewer examines the evidence. Once accepted, Finance Officer posts the charge and includes it in the agreed reconciliation treatment.
If the wrong booking was selected, do not move a posted amount silently. Review the source evidence and correct the attribution through the permitted charge path. The linked booking detail and outlet screens should tell the same story after the correction.
