What you can do

Give each task a place and an owner

A service task links the booking, session and staff member who records the work. Its type distinguishes cleaning, maintenance and member service. Due date, check-in date and status give Property Manager a practical queue for the next handoff. Front Desk Agent can capture assigned work and evidence while keeping it tied to the same booking that prompted it.

This connection matters at turnover. If a cleaning task belongs to one session but the next booking is on another, the task cannot establish readiness for the next arrival. Staff should check the linked session and booking before marking work complete. The person reference gives the team a route back to who recorded the task without treating the person’s name as a substitute for the actual user identity.

How the work is organized

  • Open queue. Bring new tasks into one list with their type, due date and linked resource.
  • Assignment. Identify the person recording progress so responsibility is visible during a shift change.
  • Completion. Close the task when the work is done, then use inspection for the separate readiness decision.

What to agree during setup

Agree who creates cleaning and maintenance tasks, who records them, and how due dates are chosen. Set a practical rule for when a member service request belongs to the current booking. Confirm that staff identities are active and linked to users before assigning work. The person who records a task should have permission for that booking and session.

A task can be completed while the session still needs review. Keep these decisions separate. A finished cleaning entry tells Property Manager what work was recorded; the return to open follows a passed inspection. For maintenance, agree who decides that the resource is available again. A task status should reflect actual work, not a shortcut for clearing the schedule.

Check the handoff on an actual case

A member reports a fault while their booking is attended. Front Desk Agent records a maintenance task on the booking and session with a due date. Property Manager checks the open service list and assigns the right staff member. The staff member records check-in and marks the task in progress, then completed when the repair is finished. The booking remains linked, so a later question can distinguish this fault from work on another session.

If the fault affects the next arrival, Property Manager reviews the session state and confirmed schedule before making a new commitment. The task history identifies what was done; the schedule identifies who is affected. Those two views support a decision that a generic completion count cannot.
