What you can do

Keep the work anchored to a stay

Class bookings holds restaurant and spa bookings for a guest reservation. The Front Desk Agent captures the outlet type, name, start time and party size from the selected stay. The saved record points back to Bookings, so staff can inspect the guest party and studio without inventing a separate customer identity for an outlet visit.

An outlet charge is a different record in class charges. Both records point to the reservation, but the charge does not directly reference the outlet booking. The Operations Reviewer checks the submitted source evidence and reservation before an eligible charge proceeds; the Finance Officer manages the charge draft and posting. Keeping the outlet booking separate from the money decision helps the team correct a visit detail without treating it as an approved amount.

How the work is organized

  • Keep identity. Begin with the reservation and confirm the guest party and studio before updating a related record.
  • Separate decisions. Record preparation, review and the resulting status as distinct steps where the workflow calls for them.
  • Trace the handoff. Leave the linked task, outlet activity, charge or receipt on the stay so the next role can check its source.

What to agree during setup

Choose how the desk identifies an outlet and records a restaurant or spa visit against a stay. Check the start time and guest count with the originating reservation. The Property Manager should decide how to correct an outlet booking if a guest changes plans or the wrong stay was selected.

Before posting a charge, agree what source evidence the Operations Reviewer needs and how the Finance Officer compares the two reservation links. Rehearse a restaurant booking followed by an eligible charge, then a spa charge whose reservation differs from the booking used as evidence. Keep the latter in Draft while staff resolve the mismatch. The outlet booking has no charge status of its own; the charge lifecycle belongs to class charges.

Check the handoff on an actual case

A checked-in guest requests a restaurant table. The Front Desk Agent records Restaurant, the outlet name, start time and guest count in class bookings against the selected reservation. The Operations Reviewer can compare that reservation with the evidence submitted for a later charge. Class charges also references the reservation; it has no direct field pointing to a class bookings row. The Finance Officer keeps a charge in Draft until its source and reservation agree.
