What you can do

Keep the work anchored to a stay

Studios are the bookable units on a guest reservation. The Property Manager maintains each unit’s number, type, capacity and operating status. A rate plan has a studio type, date interval, plan rate and minimum stay. The booking keeps its own recorded rate, so staff can inspect the plan considered at the time without assuming that changing a plan rewrites an existing stay.

Availability is an operating decision. A studio may be Available, Occupied, Cleaning or Maintenance. A booking request still needs a booked-night overlap check before it can become Confirmed. After checkout, Cleaning marks the handoff to service work; an inspected unit returns to Available only when its readiness decision passes. The unit record and its linked reservations should tell the same story.

How the work is organized

  • Keep identity. Begin with the reservation and confirm the guest party and studio before updating a related record.
  • Separate decisions. Record preparation, review and the resulting status as distinct steps where the workflow calls for them.
  • Trace the handoff. Leave the linked task, outlet activity, charge or receipt on the stay so the next role can check its source.

What to agree during setup

Load unit codes and types consistently before staff use a unit in a booking. The Property Manager should resolve capacity for rooms, suites or other bookable resources and decide how a unit under Maintenance is represented. For rate plans, agree the applicable dates, unit type and minimum stay rule. Then have the desk record the agreed booking rate rather than relying on a later plan edit.

Walk through an occupied unit, a cleaning handoff and a unit held for maintenance. Check the unit status alongside its confirmed reservations before making another commitment. The Operations Reviewer needs the readiness evidence after cleaning, and the Property Manager needs a clear decision before changing Cleaning to Available. A completed task is useful evidence, but its status is separate from the inspection decision.

Check the handoff on an actual case

A group asks for a studio while a dated rate plan applies to its unit type. The Property Manager checks the plan period and minimum stay against the requested dates, then records the agreed rate on the booking. The desk checks the studio capacity and booked nights before confirmation. At departure, the studio moves to Cleaning. A completed task gives the reviewer work evidence, while a passed readiness inspection controls the return to Available.
