What you can do

Run the work

Resources holds customer contact details and order context. Addresses support shipping and billing, while the booking and its event receipts let the service team reconstruct what happened. Order refunds has amount, reason, status, processing dates and an approver reference for controlled refund handling.

How the work is organized

  • Start from the booking. Customer Service Rep checks the customer, address, shipment and event trail before changing an order.
  • Keep requests distinct. A refund request has its own reason, amount, approver reference and processing state.
  • Route physical work. Warehouse Operator handles the return and inventory balance while service staff answer the customer.

A customer may report a damaged delivery. The rep looks up the booking, confirms the relevant shipment, records a refund reason and follows the request through its status. Warehouse Operator handles the physical return and inventory record. Merchant Owner decides whether the request qualifies; Customer Service Rep records the decision. The order’s refunded amount and the refund record should reconcile before the case is considered closed.

What to agree during setup

Set the refund authority and the point at which a request becomes processed. Agree whether shipping or tax is included and whether items return to stock. Product reviews gives the team a separate queue for customer feedback; moderation has Pending, Approved, Rejected and Flagged states. A review decision should not change the original order history.

A pilot should use a real product range, one supported market, a shipping method and a representative order. Confirm which person owns each state change. Review the information that will arrive from payment, carrier and messaging services, and decide how the team will reconcile a delayed or failed response. Keep the customer’s original transaction visible when correcting a later event.

Check the handoff on an actual case

Start with a customer selecting a shippable variant. Compare the item quantity and price in the cart with the resulting booking line. Confirm the delivery address and shipping method. Then follow payment evidence, shipment status and any service request in sequence. If an exception arises, the next person should be able to see the affected booking and the reason for the handoff without guessing from a single overall status.

This exercise also tests access. Customer Service Rep should be able to work the records in this module. A colleague with read-only responsibility should be able to inspect the relevant result without gaining permission to change payment or fulfillment evidence. Rehearse an incorrect address and a failed payment result so the team knows how to stop and correct the case.

What your team sees

  • Refund requests — Pending requests with reason, amount and booking reference.
  • Reviews awaiting moderation — Product feedback waiting for a service decision.
