What you can do
Run the work
Inventory keeps on-hand and reserved quantities for a variant at a warehouse code. Order shipments tracks each outbound parcel or delivery against its booking. The shipment records its carrier, service, tracking reference and status as warehouse work progresses.
How the work is organized
- Check stock by location. Warehouse Operator compares on-hand and reserved quantity for the variant and warehouse code.
- Follow the parcel. The shipment links to a booking and records carrier, tracking reference and its own status.
- Separate completion states. Booking fulfillment, parcel delivery and a returned item each need their own review.
When an order has shippable items, Warehouse Operator can check the variant and warehouse balance, prepare a shipment, then record pick, pack and transit progress. A partial fulfillment remains distinct from a completed booking. For a customer asking where an item is, Customer Service Rep can use the tracking number and shipment status without changing the physical inventory record.
What to agree during setup
Agree warehouse codes, the source of on-hand quantities, who is permitted to adjust stock and which carrier system supplies tracking events. A tracking URL is only as useful as its source. Review exceptions and returned parcels separately from successful delivery. Use the estimated transit duration to explain the shipping method to the customer.
A pilot should use a real product range, one supported market, a shipping method and a representative order. Confirm which person owns each state change. Review the information that will arrive from payment, carrier and messaging services, and decide how the team will reconcile a delayed or failed response. Keep the customer’s original transaction visible when correcting a later event.
Check the handoff on an actual case
Start with a customer selecting a shippable variant. Compare the item quantity and price in the cart with the resulting booking line. Confirm the delivery address and shipping method. Then follow payment evidence, shipment status and any service request in sequence. If an exception arises, the next person should be able to see the affected booking and the reason for the handoff without guessing from a single overall status.
This exercise also tests access. Warehouse Operator should be able to work the records in this module. A colleague with read-only responsibility should be able to inspect the relevant result without gaining permission to change payment or fulfillment evidence. Rehearse an incorrect address and a failed payment result so the team knows how to stop and correct the case.
What your team sees
- Pending shipments — Parcels waiting for a label, pick or pack action.
- Shipments in transit — Parcels with tracking details for customer updates.
