What you can do
Journal scope in daily work
Journal lines describe the debit and credit account scope of a banking instruction. Each line carries its direction, amount, account and parent instruction. The Accounting Preparer can show where a transfer is expected to affect provider-held accounts before the Accounting Reviewer authorizes submission. The linked account code and provider help the reviewer distinguish accounts that otherwise have similar names.
How the work is organized
- Record owner. The Accounting Preparer keeps the instruction and its revision ready for review.
- Decision owner. The Accounting Reviewer checks authority and records the reason for a decision.
- Evidence owner. The Reconciliation Analyst connects source events and balances to the instruction.
Check the debit and credit amounts together. An apparent balance is not enough if one line points to an inactive or wrong account. The instruction’s amount is in USD, while a provider-held account can carry one of the configured currencies. Effective exchange rates are reference data; agree the calculation and accounting policy with the connected ledger before comparing unlike currencies. The connected ledger owns actual posting; these lines show the intended account scope.
What to agree during setup
Choose a representative transfer between two accounts for rehearsal. Compare both line directions, the account identities and the gross instruction amount. Change one line after review and confirm the decision no longer authorizes the changed revision. The team should be able to explain the intended account effect, the actual provider outcome and any remaining unmatched movement as separate facts.
Before the first operating cycle, choose the account that represents each side of a common instruction and make that choice visible to the reviewer. Include a case where the destination account has the right currency but the wrong provider identity. The amount may look balanced while the account selection is still wrong. Correct the line and obtain a decision for the new revision before submission. Preserve the old review record for the audit trail.
Check the handoff on an actual case
Enter debit and credit lines for a settlement instruction and compare the total with the instruction amount. Give one line a wrong provider-held account while keeping its amount unchanged. The Accounting Reviewer should catch the account identity before approving the current revision. Correct the line, request a new review and retain the earlier decision so the Auditor can see why the intended account scope changed.
