Purchasing finance teams
A purchasing team may receive supplier-related documents from several business units while one finance group controls the account outcome. This setup keeps a named organization, counterparty and owner on every accounting document. It helps the team trace review decisions and provider activity when an item crosses from preparation to the finance reviewer.
How Accounting Document and Account Reconciliation is set up for you
Supplier context
A business partner record holds the supplier name, code, contact and eligibility note. The document links to that partner and its organization.
Document preparation
The preparer records the subject, date, gross amount and debit and credit account lines. Supporting files stay with the parent document.
Independent decision
The reviewer checks the current revision and records a reasoned decision. A change to the amount should return through review.
Provider outcome
Submission and confirmation are separate steps. The team retains provider identifiers and verified event evidence.
Account review
Provider movements are matched only when their amount, date and account agree with confirmed activity.
A purchasing team may receive supplier-related documents from several business units while one finance group controls the account outcome. This setup keeps a named organization, counterparty and owner on every accounting document. It helps the team trace review decisions and provider activity when an item crosses from preparation to the finance reviewer.
Start with one organization and a small set of active suppliers. Agree the accounting document number convention, the owner for each incoming item and the account codes the team uses. Import one dated opening snapshot for the account under review. Prepare a supplier-related document with its source attachment, send it to an independent reviewer and follow the provider outcome before matching a movement. Include one mismatch in the pilot so the exception path is tested.
This pattern gives a purchasing team a disciplined finance record for supplier-related activity. Keep the provider source and its event identifiers available to the reviewer. If a source entry changes, preserve the earlier record and make the correction clear to anyone reviewing the history.

Roles on the team
- Auditor
- Read authorized evidence and reports in a scoped, read-only audit view. No record writes and no action execution.
- App Administrator
- Maintain organization configuration and membership. Administrative membership does not confer approval, financial or execution authority and cannot grant an independent reviewer entitlement.
- Accounting Reviewer
- Review eligible document revisions independently and reconcile operational evidence. Approve or reject through guarded actions only; no unrestricted editing of protected or executed records; a reviewer cannot approve their own submission.
- Accounting Preparer
- Prepare assigned operational records and execute eligible reviewed actions. Own organization and draft scope only; accepted, posted and supplier evidence is read-only; guarded workflows authorize every transition.
- Admin
- Configure access and review organization membership without acting as an independent financial approver by default.
