What you can do
Separate authorization from outcome
An authorized accounting document is ready for the designated provider step. Submission records the provider instruction identifier and moves the document into a submitted state. That step establishes what was sent; it does not establish that the provider carried it out. Confirmation or settlement evidence must be checked before the document is treated as confirmed. A pending outcome remains visible until the team can resolve it against provider evidence.
The document stays the organizing record. It retains its organization, owner, counterparty, gross amount and approved revision. Cash receipts can record a provider event identifier, occurrence date, amount, evidence type and verification state against that parent. These details let the reviewer ask whether the evidence is a confirmation, settlement, correction or statement item and whether it belongs to the instruction under review.
How the work is organized
- Authorization. An independent decision covers the current document revision before provider submission.
- Submission. The provider instruction identifier connects the local document with the external request.
- Confirmation. Verified evidence determines the outcome; a sent request remains separate from a settled one.
What to agree during setup
Choose the provider connection and define which external response is sufficient to confirm an instruction. Agree how provider event identifiers are captured and how duplicate events are recognized. Decide who investigates a pending item and how long a request may remain pending before escalation. Keep the owner’s organization scope in both the local record and the provider connection.
The finance team also needs a rule for corrections. A locally canceled or amended instruction cannot be assumed reversed at the provider. Keep prior review decisions and verified evidence when an instruction needs correction. For a confirmed item with a disputed provider effect, investigate the actual provider state before recording a new outcome.
Check the handoff on an actual case
The preparer receives authorization for a supplier-related instruction and submits it to the provider. The provider returns an instruction identifier but no settlement confirmation. The document moves into the submitted or pending work list. A later provider event supplies a dated amount and event identifier. The reviewer compares it with the instruction, marks the evidence verified when justified and accepts a confirmed outcome only then. If the provider event differs, the item remains open for investigation; a local status change cannot make the provider result true.
An auditor following this case should find the original decision, provider reference and verification evidence in order. The organization and owner on the document explain whose work it was. The event identifier helps distinguish a later correction from a duplicate response.
