What you can do
The working record
A program supplies the operating context for a funding case. Its name and code distinguish it within an organization, while the contact name, address and eligibility note tell the case owner where to direct a request. The program relationship on the case lets a reviewer group related requests without copying program details into every case.
For a request that spans similar programs, the organization and program code settle which operating area owns it. The reviewer can check that choice against the eligibility note. If the team later changes the program contact, the case still points to the same program record.
How the work is organized
- Start with the case. Confirm the organization, program and owner before adding linked work.
- Keep the decision visible. Use the reviewer decision and supporting file to explain why work advanced or returned.
- Follow the result. Check the linked operation result when an action needs follow-up.
Admin keeps the program code, contact and eligibility note current. The case owner chooses the program when opening the case; the funding reviewer checks that the selected program fits the request. A program marked inactive remains identifiable on existing cases.
What to agree during setup
Agree who maintains program codes and when a program is marked inactive. Set the eligibility note in language a case owner can apply. Decide whether an existing case can stay with a program after the program becomes inactive, and review organization ownership before assigning new work.
Funding Case Owner should check the program’s organization before assigning a new case. Funding Reviewer should read the eligibility note as part of the decision, especially where several programs accept similar requests. Admin should document any change to a program code before people select it for new work.
Check the handoff on an actual case
Create an active program for a real operating area, then open a funding case against it. Check that the program appears with the correct organization and contact. Have the reviewer compare the case subject and restriction with the program eligibility note. Mark the program inactive in a rehearsal and confirm the team knows how to handle existing cases.
Ask the case owner to find both the active program and the case that names it. Then ask a reviewer to read its eligibility note and explain whether the request belongs there. Keep the program identity visible if its active state later changes.
