What you can do
The working record
Review decisions belong to a parent funding case and identify the reviewer, source revision, decision, time and reason. Record attachments add a titled file, evidence type, visibility, upload time and uploader. Together these records let someone reconstruct the basis for a case award or receipt decision.
A decision points to a funding case, its source revision and the team member who reviewed it. The reason explains an approval, rejection or return. Attachments point to the same case and retain their uploader, upload date and visibility.
How the work is organized
- Start with the case. Confirm the organization, program and owner before adding linked work.
- Keep the decision visible. Use the reviewer decision and supporting file to explain why work advanced or returned.
- Follow the result. Check the linked operation result when an action needs follow-up.
The case owner adds the file needed for review. Funding Reviewer checks the current case revision and records a decision with a reason. Receipt Reviewer uses the linked case evidence when considering a donation receipt, so the case ties the records together.
What to agree during setup
Agree which attachments can be shared and who can see internal evidence. Decide how a reviewer checks the source revision before approving a changed case. Require a reason for rejection or return that tells the owner what to correct. Set responsibility for resolving an operation marked as needing review.
Give Funding Reviewer responsibility for the day-to-day record and Receipt Reviewer a clear point at which to check it. Agree who may read internal attachments and when a file may be shared. Decide how reviewers learn about a revised case and how a returned decision reaches its owner. Test whether earlier files and decisions remain easy to find.
Check the handoff on an actual case
Submit a case with an attachment and have the reviewer record a return decision with a reason. Update the case, then present it again so the new decision points to the current revision. Check that the original file and first decision remain visible. Repeat the review for a receipt linked to the same case.
Have the case owner open the revised case and show both decisions in date order. Ask the reviewer to name the revision they considered and the file they used. For a receipt, confirm that its parent leads to the same case evidence.
