How a E-library / Digital Repository rollout works

Start with one collection and rehearse review, delivery and correction.

  1. Define the first collection

Record the organization, project code, operating dates and policy reference. Assign an administrator, operators and independent reviewers.

  2. Map source data

Agree item numbers, source identifiers, file references and mapping versions. Import a small case set with correct project and owner links.

  3. Prepare and review

Enter requirement lines and supporting files, then submit a revision. Have a separate reviewer approve, return and reject representative cases.

  4. Trace delivery

Reconcile an approved item's delivery reference, run, attempt and external receipt against the receiving endpoint.

  5. Rehearse correction

Replace evidence on a successor revision and assign a compensating task if an earlier delivery is superseded.

What the customer provides

Provide project policy references, organization and staff identifiers, representative content items, source documents, requirement criteria and the receiving repository’s acknowledgement format. Name the people who decide whether a revision is accepted and who investigate uncertain delivery results. Bring a real returned case to the rehearsal so task ownership and revision history can be checked together.

Changing it afterwards

A new project may need a distinct policy reference and field mapping version. Check the effect on active items before changing a transform rule. When a delivered item changes, keep its earlier decision and receipt, create a successor revision and review that revision independently. Review access whenever a person changes organization or responsibility.
