How a E-procurement Portal rollout works

Set up the buying organization, run a real purchasing cycle and check each handoff.

  1. Organization

Record the buying organization, its currency and time zone; link active team members to their users.

  2. Supplier register

Enter suppliers, contacts and eligibility notes for the pilot organization.

  3. Demand

Create a purchase request with lines, budget code, owner, counterparty and required date.

  4. Review and tender

Record decisions against the current revision, compare tender offers and complete an approved award.

  5. Receipt and evidence

Add the order reference, accepted quantities, attachments and operation outcomes; reconcile the final state.

What the customer provides

Bring the buying organization details, the people who will act as Buyer, App Administrator, Purchasing Approver and Auditor, a small supplier set, a real request and supporting documents. Choose the person who will evaluate tender offers. Agree on the rules for evidence visibility and the external system that issues order references.

Changing it afterwards

When a request changes after review, record the new revision and obtain a decision for that revision before continuing. Keep prior decisions and operation receipts for audit. Update supplier contacts on the supplier record and rehearse the affected handoff again. Create the first cycle with a case the team already understands.
