- Who it's for
- Private distribution fleets
Private distribution fleets
A distribution business operating its own vehicles needs a clear handoff between fleet preparation and dispatch. ELD / Hours of Service brings the vehicle's readiness, driver assignment and load commitment into that discussion. Duty intervals can then be reviewed against the movement they supported, with an independent decision and a recorded import outcome.
How ELD / Hours of Service is set up for you
Vehicle preparation
Check the selected vehicle's equipment class and readiness before confirming the movement. Inspect reported defects and repair evidence when the vehicle has recently returned from maintenance.
Assignment discipline
Record the committed start and end for the load, driver and vehicle together. A vehicle that is ready can still be unavailable during another delivery, so Dispatcher checks existing commitments before release.
Recipient evidence
Keep stop windows beside observed arrival and departure. Attach the supporting handover file to the load with a useful title and the intended visibility.
Supervisor follow-up
Transport Supervisor reviews submitted driver activity and investigates uncertain operation outcomes. The original promise remains available when the team examines a delivery delay.

Choose a regular warehouse-to-branch movement with an agreed delivery window. Prepare the driver roster and fleet record, then rehearse a reported defect whose repair evidence requires clarification. Have Dispatcher resolve the readiness question before confirming the assignment.
During the delivery rehearsal, record a late arrival and retain the actual handover evidence. Transport Supervisor should be able to compare that result with the original promise and locate the source activity for the driver. Ask Auditor to inspect the authorized evidence from a separate account.
Agree the handoff with any existing fleet or logging system during [implementation](/eld-hours-of-service/implementation). Begin with an explicit source identity and a limited operating scope so the team can explain a failed import before increasing the volume of daily work.
