What you can do

Know which demand holds the stock

Warehouse Manager works from inventory by product, warehouse and lot or serial identity. On-hand quantity and allocated quantity answer different questions. A reservation identifies the customer order line or production component holding the stock, while the hold state shows whether the inventory is available for use.

Shipment lines retain their customer order, reservation and stock event links. The shipment header records carrier, tracking detail and delivery evidence. Sales Rep can follow partial fulfillment without treating a planned shipment as an actual dispatch. Accountant uses the resulting line evidence when preparing eligible customer billing.

How the work is organized

  • Stock availability. Inventory keeps the warehouse and ownership entity with the product identity. Quality hold, quarantine and count locking require attention before the team commits that supply.
  • Demand reservations. Reservation quantity and state distinguish a soft claim from picked or issued stock. The linked demand gives Warehouse Manager a concrete source to examine when priorities change.
  • Dispatch evidence. Shipment lines retain quantities actually shipped and their stock links. Carrier tracking and proof of delivery support the later Shipped and Delivered states.

What to agree during setup

Agree the warehouse structure and how the team records lots, serials and stock held for inspection. Review the use of raw, finished-goods, quarantine and transit locations against the business’s physical arrangements. Establish the responsibility for releasing a hold before accepting an urgent allocation request.

Decide how reservations expire or are released when customer demand changes. Confirm who records picking and packing and which evidence supports dispatch. Carrier updates are a connection to set up; a carrier name on a shipment alone does not confirm that a collection occurred. Choose how customer returns reconnect to the original shipment and commercial settlement.

Check the handoff on an actual case

Use a customer order that can be fulfilled only in parts. Warehouse Manager checks available inventory, reserves an eligible lot and prepares a shipment for the available portion. Record the picked quantity, then the packed and dispatched quantity. Sales Rep compares the shipment with the order line’s remaining commitment before contacting the customer about the balance.

Now place the remaining stock on quality hold during the rehearsal. Review the unfulfilled demand without treating that held stock as ready for dispatch. When a replacement lot becomes available, follow its own reservation and shipment identity. The second dispatch must remain distinguishable from the first.

Ask Accountant to trace each shipped line into its billing allocation. A return should preserve its original product and shipment context while the financial correction follows its own decision. Finally, check that proof of delivery is attached to the relevant shipment so a delivered status can be explained from the underlying event.

What your team sees

  • Shipment Board — Work grouped by preparation and dispatch state for warehouse coordination.
  • Receipt Acceptance Queue — Incoming supply that still needs an acceptance decision before use.
