How a Cement ERP rollout works

Start with one entity, one plant or depot and a week of dealer orders you can reconcile.

  1. Agree the operating boundary

The app runs dealer sales and credit, dispatch and delivery routes, returns, purchasing, inventory, packing and conversion work orders, and entity finance. Kiln operation, process control, plant scheduling, laboratory testing, payroll, route optimization and live tracking stay in other systems. Your managers decide order acceptance, credit, purchases, invoices, payments and period close; Proto prepares information and configuration for their review.

  2. Set policy and masters

Configure entities, currencies, users with their entity and warehouse scope, the distribution policy, payment terms, tax codes and the chart of accounts. Activate products, units, cost standards, warehouses, dealers, price lists and suppliers through reviewed master changes.

  3. Migrate opening balances

Prepare a migration batch with one opening journal and itemized open invoices, bills, unapplied cash and stock layers. Reconcile it to the source ledger and a stock count before it is approved and applied.

  4. Run a bounded pilot

Pilot one entity, one plant warehouse or depot, a group of dealers and a normal week of orders, routes, deliveries, receipts, packing work orders and collections.

  5. Rehearse the exceptions

Run a credit exception, a refused stop, a partial delivery with damaged bags, a rejected receipt portion, a bank return and a work order closed with variance. Each case should leave stock, dealer balances and the ledger in agreement.

  6. Reconcile and release

Compare balances and open documents with the source, obtain sign-off from the Sales Manager, Warehouse Manager and Finance Manager, keep an export of the source data and agree the rollback window before cutover.

What the customer provides

  • Entity structure, functional currencies, chart of accounts and accounting periods.
  • Products with their units, bag and bulk conversions, lot control and cost standards.
  • Warehouses, depots and locations, with opening stock by lot.
  • Dealers with credit limits, terms, contacts and the current price lists.
  • Suppliers with terms and verified bank details.
  • Open dealer invoices, supplier bills, unapplied cash and open orders.
  • Bills of materials and routings for packed or assembled products.
  • Approval limits and the people who hold each decision.

Changing it afterwards

Use Proto to prepare changes on a branch. Review changed fields, permissions, policy versions and reports with the people who own them, and replay the pilot’s exception cases before release. Masters and policies change through new versions, so earlier orders, invoices and work orders keep the terms they were approved under.
