What you can do
Know what stock is free to promise
Inventory positions hold stock for each entity by product, warehouse, location, lot number and custody state: Available, Held, Picked, Transit or Production. Every position shows quantity on hand, reserved quantity and available quantity, along with its carrying value. Stock layers keep the remaining quantity and value of each receipt, production output or return, so the cost of a dispatched bag can be traced to where it came from. Every change is a stock events record with its stock movements legs and the journal effect it posts.
A warehouse can hold stock owned by more than one entity. The legal owner stays on each position, so a shared depot does not merge the books of two companies.
How the work is organized
- Reserve before promising. inventory reservations claim a position and layer for an order line, a work order material or a transfer line, and move through Soft, Hard, Picked, in transit and Consumed. A reservation is exclusive, so two orders cannot promise the same bags.
- Move stock between warehouses as a transfer. stock transfers are approved, then dispatched in full or in part. Stock in transit stays owned and keeps its cost until it is received, and any shortfall is resolved as an explicit loss quantity on stock transfer lines.
- Count blind and adjust once. count plans lock a scope with count locks, counters record counted quantities in count lines, and variances beyond the tolerances in distribution policies go to review before a single adjustment is posted.
What to agree during setup
Agree warehouse and location codes, including receiving, picking, dispatch, held, transit and production locations. Set up units of measure with their dimension and decimal places, and product units for bags and bulk with their base conversions. Decide which products are lot-controlled. Bagged cement has a limited shelf life, so agree how expiry allocations record the lot, expiry date and quantity chosen for an order line. Set count tolerances by quantity, percentage and value in the distribution policy.
Check the handoff on an actual case
The plant warehouse sends stock to a depot. The transfer is approved, and the first truck leaves with part of the quantity, so the transfer becomes partially dispatched and the dispatched quantity moves into transit custody. The rest leaves the next day and the transfer becomes in transit.
At the depot, the receipt is short by a few bags. The received quantity is recorded, the transfer becomes partially received, and the shortfall is resolved as a loss quantity with its value. The transfer then closes with quantity and value balanced between the two warehouses.
During the pilot, count a location while a pick is in progress. The lock should cover positions that appear during the count, and the adjustment should post only once after review.
What your team sees
- Stock by location — on-hand, reserved and available quantity by warehouse, location, product, lot and custody state.
- My pick tasks — picks assigned to you with planned start and end, order line and picked quantity.
Follow the work through
- Dealer order to delivery: Reservations, picking and dispatch for accepted dealer orders.
- Work order to close: Material issue and output from packing work orders.
Plan the migration order for opening stock.
What it keeps track of
Data model- Warehouses
- Physical sites may host segregated entity-owned positions; legal owner stays on each position.
- Locations
- Shallow warehouse bins, staging and transit custody locations.
- Products
- Trade goods and assembly outputs; master values do not rewrite transactions.
- Product units
- Versioned product-specific buy/sell packs and base conversions.
- Units of measure
- Dimension and precision for stock, purchase, sale and production quantities.
- Inventory positions
- Current owned stock by complete identity and custody state; provenance is not a second balance.
- Stock layers
- Remaining quantity/carrying value with receipt/output/return lineage.
- Inventory reservations
- Exclusive bounded demand claims through picking and owned transit.
- Stock events
- One immutable group of stock movements and the associated journal effect.
- Stock movements
- Signed position/layer legs; transfers balance quantity and value by SKU.
- Stock transfers
- Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
- Stock transfer lines
- Partial transfer quantities retain equal in-transit ownership and cost.
- Count plans
- Blind scoped counts with explicit review and cost before adjustment.
- Count locks
- Time-bounded counted scope protecting all identities, including newly appearing positions.
- Count lines
- Observed base quantity and signed variance against an unchanged locked population.
- Expiry allocations
- Expiry Allocations for ERP for FMCG.
