What you can do

Keep the operating basis clear

The stock position belongs to an entity, product, warehouse and location, with a lot when the product requires one. Custody states distinguish available, held, picked, transit and production stock. A reservation claims eligible quantity for a specific order, work order or transfer; it cannot use the same units for another request.

How the work is organized

A stock event records the economic movement and its linked position and layer changes. Transfer dispatch retains the same entity’s ownership while the stock is in transit. Partial receipt at the destination closes only the quantity actually received. A count locks its scope, records blind observations and routes a variance for independent review before adjustment.

  • Identity. Keep the source record, entity and accountable person attached to each step.
  • Decision. Record the reviewer and the exact scope they accepted before the next action.
  • Evidence. Preserve actual quantity, date and correction history when execution differs from the plan.

What to agree during setup

For boxed ceramic goods, agree on the base unit, pack conversion, lot identity and physical storage locations. Choose who may hold stock, release a transfer and approve a count adjustment. Opening stock needs a known quantity and carrying value by complete identity; a summary warehouse total is not enough to explain later issues.

The team should choose one real pilot case and agree on its owner, decision point and exception route. Prepare the source identifiers and opening balances before importing old records. Review access with the person who will perform the work, and make the exception visible to the person who can resolve it.

Check the handoff on an actual case

Rehearse a transfer with one part received and another still in transit. Compare the source, transit and destination quantities, then check the total owned carrying value. Run a count in one location while a new position appears inside the locked scope. Confirm that the adjustment follows its reviewed variance rather than changing the observed count.

Check the final state against the original promise and the accepted source. The reviewer should be able to explain why a partial action left a remainder, which evidence changed it and who approved the next step. Repeat the case after a correction to make sure the original record remains traceable.

What your team sees

  • Warehouse availability — Current stock by product, location and custody state.
  • Count review queue — Observed variances awaiting the named reviewer.

What it keeps track of

Data model
Products
Trade goods and assembly outputs; master values do not rewrite transactions.
Product units
Versioned product-specific buy/sell packs and base conversions.
Inventory
Current owned stock by complete identity and custody state; provenance is not a second balance.
Stock layers
Remaining quantity/carrying value with receipt/output/return lineage.
Stock events
One immutable group of stock movements and the associated journal effect.
Stock movements
Signed position/layer legs; transfers balance quantity and value by SKU.
Reservations
Exclusive bounded demand claims through picking and owned transit.
Stock transfers
Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
Stock transfer lines
Partial transfer quantities retain equal in-transit ownership and cost.
Count plans
Blind scoped counts with explicit review and cost before adjustment.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
Count locks
Time-bounded counted scope protecting all identities, including newly appearing positions.
Warehouses
Physical sites may host segregated entity-owned positions; legal owner stays on each position.
Locations
Shallow warehouse bins, staging and transit custody locations.

Who uses it
