What you can do

Inventory control in the operating day

Warehouse Manager controls available stock by product, warehouse, location, lot and custody. Reservations claim eligible quantity for a particular demand, while transfers and counts retain the physical evidence behind balance changes.

Inventory distinguishes on-hand, reserved and available quantities. A reservation stays linked to its order, work order material or transfer line. A same-entity transfer moves stock through dispatched and transit states before the destination confirms what it actually received. Count plans lock a defined scope and separate blind observation from an authorized adjustment.

How the work is organized

  • Prepare. Identify the entity, warehouse, location, lot and custody before a reservation.
  • Decide. Warehouse Manager approves transfers and count adjustments against the stated scope.
  • Record. Record source dispatch, transit and destination receipt as separate movements.

What to agree during setup

Agree warehouse and location ownership, lot handling and the permitted custody states for each item. Set count tolerances and who can authorize a stock release or adjustment. Rehearse a partial transfer receipt and a count variance. A paper movement should never silently create available stock at both ends.

Check the handoff on an actual case

An order requires a lot held in another warehouse. Warehouse Manager reviews a transfer request and approves its route to the destination. The source records what left; the destination records the actual remainder received. If a count finds a shortage, the counted quantity and variance stay visible for review before an adjustment posts.

At the handoff, the receiving person checks the source record, approval and remaining quantity. The team keeps the exception with its owner until the actual result is recorded.

When stock moves between warehouses, Warehouse Operator records the quantity that leaves the source and the quantity that arrives at the destination. A short receipt leaves a visible in-transit remainder for Warehouse Manager to resolve. Reservations still claim only stock with an eligible location and custody state. During a count, the counter records observed quantity while the manager reviews the variance and the independent approval. The team should trace any adjustment back to the count line and its original position.

What your team sees

  • Stock available by location — Available stock with reserved quantity and location context.
  • Transfers for approval — Pending transfers between named warehouses.

What it keeps track of

Data model
Inventory
Current owned stock by complete identity and custody state; provenance is not a second balance.
Reservations
Exclusive bounded demand claims through picking and owned transit.
Stock transfers
Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
Stock transfer lines
Partial transfer quantities retain equal in-transit ownership and cost.
Count plans
Blind scoped counts with explicit review and cost before adjustment.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
Count locks
Time-bounded counted scope protecting all identities, including newly appearing positions.
Stock events
One immutable group of stock movements and the associated journal effect.
Stock movements
Signed position/layer legs; transfers balance quantity and value by SKU.
Locations
Shallow warehouse bins, staging and transit custody locations.
Warehouses
Physical sites may host segregated entity-owned positions; legal owner stays on each position.
