What you can do

Keep the decision attached to the record

A carrier and tracking number belong to the fulfillment. Marking an order approved does not create a shipment. The packed and shipped states should reflect actual warehouse work, and delivery status should follow evidence from the carrier or receiving party. Warehouse Manager starts from an approved order, then directs pick tasks at the assigned warehouse. Each task records its requested quantity and whether it is picked or short. Fulfillment lines record the quantities actually shipped against the order lines. The fulfillment carries carrier and tracking details, while its status distinguishes packing, shipment and delivery.

How the work is organized

  • Assign the pick. Check the reservation, product and location before sending a task to the picker.
  • Record the result. Keep a Short task open for review and pack only the picked quantity.
  • Ship the lines. Compare fulfillment lines with sales order lines, then record carrier and tracking details on the shipment.

What to agree during setup

Agree who can assign picks, who confirms packing and which carrier evidence supports a delivered state. Rehearse an order with a short line and another with a complete pick. Check that the remaining sales quantity stays visible after a partial fulfillment. A tracking number belongs to the fulfillment, but it does not by itself confirm delivery.

Before the first shipment, compare the packed quantity to each approved sales order line. Have the person recording shipment open the fulfillment record and check its warehouse, carrier and tracking number. Ask Sales Manager to verify that a partial shipment leaves the remaining order demand visible.

Check the handoff on an actual case

A customer order contains two products, but one location is short. The assigned picker records the short task, and the Warehouse Manager checks the actual picked quantity before packing. The fulfillment lines record what is shipped against the sales order lines; the order can remain partially fulfilled while the rest is resolved.

Sales Manager should see the actual shipped quantity and any remainder on the order. Finance Manager can use the fulfilled order as billing context. Warehouse Manager keeps the short task visible until the team decides whether to pick later, change the order or cancel the remaining demand.

What your team sees

  • Pick exceptions — The main queue for approved sales order, with its status and source context.
  • My sales orders — Related follow-up work that needs a second check.
