What you can do
Keep the decision attached to the record
Stock movements records receipt, issue, transfer and adjustment kinds. A planned transfer should be reconciled with the posted movement on each side; an open reservation does not itself prove that goods moved. Warehouse Manager reads the stock position by product, warehouse and entity before assigning an order. On-hand, reserved and available quantities answer different questions. A reservation claims stock for a sales order line; a posted movement records a receipt, issue, transfer or adjustment. For a transfer between warehouses, check the movement on each side before relying on the destination position.
How the work is organized
- Check the position. Compare on-hand, reserved and available quantity at the warehouse that will fulfill the order.
- Claim the product. Link a reservation to the sales order line when available, and keep its active or released state visible.
- Record movement. Use a posted stock movement for physical change; a reservation alone does not prove stock moved.
What to agree during setup
Agree the entity and warehouse that own each stock position, the location codes used for picking and who may post adjustments. Rehearse two approved orders competing for the same available quantity. Include a short pick and a transfer between warehouses, then compare the reservations with posted movements. The warehouse team should know who investigates a held position before promising more stock.
For a transfer, check the source and destination warehouses separately. Record the outgoing and incoming stock movements with the correct product, entity and movement date. If a position is Held or a location is Blocked, Warehouse Manager should review it before making a new reservation.
Check the handoff on an actual case
Two approved orders request the same product at one warehouse. The Warehouse Manager checks the available position and active reservations before assigning picks. If one pick comes up short, the shortage stays in the pick queue and the remaining demand is reviewed against the actual stock position.
The picker receives a product and location that can be checked against the position. Sales Manager sees when the approved quantity cannot be met. A short pick stays in the exception queue while Warehouse Manager reviews the position and any active reservations; it does not become a completed shipment.
