What you can do

Run the operating handoff

Warehouse Manager watches product positions by warehouse and location, including on-hand, allocated and available quantities. A reservation claims eligible demand against an inventory position and layer. Count plans and lines record a physical check before an authorized adjustment affects stock.

A transfer remains within one entity. Dispatch, owned transit, partial receipt and resolved loss retain distinct quantities. For stock moved from a central warehouse to a branch, the receiving location must record what arrived rather than treating dispatch as receipt.

How the work is organized

  • Position. Warehouse Manager reviews stock by product, warehouse, location and custody state.
  • Reservation. A claim against an accepted order or work order consumes only available quantity.
  • Movement. Warehouse Operator records dispatch and actual receipt; Warehouse Manager approves the transfer scope.

What to agree during setup

Set entity, warehouses, locations and product units before moving stock. Agree whether a movement is a reservation, a warehouse transfer or a count correction. Name a Warehouse Manager to approve releases and adjustments, while Warehouse Operator records the physical event.

Choose a product held in one warehouse and needed in another. Define who records transit custody and who confirms receipt. A count discrepancy needs its own scoped review, rather than a direct edit to on-hand quantity.

Check the handoff on an actual case

Reserve part of an available position for an accepted dealer order. Confirm another reservation sees the reduced availability. Submit a transfer for the remaining stock and have Warehouse Manager approve the current transfer revision. Warehouse Operator dispatches part, then records a partial receipt at the destination.

Compare dispatched, received and still-in-transit quantity on the transfer line. Repeating the receipt should not create another stock event. If the destination reports a shortage, leave it as an unresolved difference for review. Recount the source position under a count plan and authorize any adjustment separately.

The two warehouse positions should remain separately identifiable throughout the move. Check product unit and location before posting the destination receipt. If a count reveals a difference, keep the observed quantity, reviewer and approved adjustment together so the stock event has a physical explanation.

What your team sees

  • Available warehouse positions — Active stock positions showing on-hand, allocated and available amounts by location.
  • Transfer approval queue — Transfers waiting for Warehouse Manager approval before dispatch.

What it keeps track of

Data model
Products
Trade goods and assembly outputs; master values do not rewrite transactions.
Product units
Versioned product-specific buy/sell packs and base conversions.
Inventory
Current owned stock by complete identity and custody state; provenance is not a second balance.
Stock layers
Remaining quantity/carrying value with receipt/output/return lineage.
Reservations
Exclusive bounded demand claims through picking and owned transit.
Stock events
One immutable group of stock movements and the associated journal effect.
Stock movements
Signed position/layer legs; transfers balance quantity and value by SKU.
Stock transfers
Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
Stock transfer lines
Partial transfer quantities retain equal in-transit ownership and cost.
Count plans
Blind scoped counts with explicit review and cost before adjustment.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
