What you can do
Run the operating handoff
A return links requested and actual quantity to the original delivery, receipt or invoice line. The physical disposition is an independent decision. Accountant prepares customer invoices from eligible title-transferred scope, records actual cash receipts and allocates available amounts to invoices.
Finance Manager approves invoices and payment release, then reviews revaluation and period close. A credit document, physical return and cash refund remain separate records. The team can trace a disputed delivery through the return and correction while preserving posted history.
How the work is organized
- Return. Warehouse Manager authorizes a requested quantity against the original net delivered scope.
- Disposition. Warehouse Operator records actual goods; Warehouse Manager decides the physical treatment within that amount.
- Finance. Accountant prepares credit, invoice or receipt allocation and Finance Manager independently approves gated postings.
What to agree during setup
Agree how the team links a return to its original delivery or invoice line. Define who records the actual received quantity, who decides disposition and who authorizes customer credit or a refund. A physical receipt does not by itself change the invoice balance.
Set the period, currency and exchange-rate evidence for financial postings. Have Accountant prepare the document while Finance Manager reviews its source and current revision. Name the owner of bank reconciliation before cash is allocated.
Check the handoff on an actual case
Take a partly delivered dealer line that the customer disputes. Authorize no more than the original net returnable quantity, record the actual goods received and approve a disposition within that physical amount. Keep the credit document separate from the returned stock event.
Prepare an invoice for the remaining eligible title-transferred quantity and have Finance Manager approve it. Post an actual cash receipt and allocate only its available unapplied amount to the open invoice. Check the outstanding balance and close task evidence. Repeat the return or allocation event and confirm it cannot consume the same original scope twice.
A customer credit can be smaller than the goods physically returned. Keep the original invoice line, accepted returned quantity and approved credit basis linked but distinct. If the bank later returns a receipt, Accountant records a correction with new evidence while Finance Manager reviews its effect on the open period.
