What you can do
Keep the dealer commitment clear
Sales Representative prepares an offer for a dealer within the selling entity. The account identifies billing terms and the commercial relationship, while dealer contacts can distinguish the ordering person from the delivery destination. A price list and product unit establish the offer basis. Sales Manager reviews the accepted order as a separate person, with Finance Manager deciding a required credit exception. The decision stays attached to the order revision that was submitted.
An order records its ship-to details, currency, amount and title rule. These facts matter when a dealer requests a changed delivery address or a different quantity after approval. The team should revise the scope and obtain the applicable decision before warehouse work consumes the new promise. A later price-list change does not rewrite an accepted line.
How the work is organized
- Offer preparation. Sales Representative checks dealer status, price, selling unit and tax treatment before sending an evidenced quote.
- Order decision. Sales Manager approves the current accepted revision, while Finance Manager reviews exposure when the proposed increase needs an exception.
- Remaining demand. Warehouse work draws from approved line quantities, keeping shipped, cancelled and still eligible scope separate.
What to agree during setup
Agree which entity owns each dealer account, who can prepare an offer and who can approve it independently. Set the product selling units, price-list effective dates, payment terms and credit limits before the first live order. Decide whether title passes at dispatch or delivery for the relevant selling terms. That choice affects when fulfillment supports billing.
The credit review uses current exposure and the proposed commitment. Agree how the team handles an account on hold, an expired quote or a changed acceptance. Keep the original promise visible even when a delivery date is renegotiated. Sales Manager should rehearse a partial shipment and a revised order, since those cases reveal whether the remaining balance stays bounded.
Check the handoff on an actual case
Take a dealer order with two product lines, one available and one awaiting supply. Sales Representative records the accepted scope and submits it. Sales Manager checks the price, amount and acceptance evidence; Finance Manager reviews any credit exception. The warehouse reserves only approved demand. When the first line ships, the second line remains open rather than inheriting the first shipment’s result. If the dealer changes the second line, a new review applies to that remainder.
Follow the case into invoicing. The eligible billed quantity follows the actual title event and the accepted net allocation. An invoice for the first delivery does not bill the unshipped line. Keep the dealer, order, shipment and invoice references together so a credit or return can later identify the original transaction.
