What you can do
Put specialty evidence beside distribution work
Industry Specialist records the promotion item, date window, discount percentage and named approver in trade promotions. Industry Reviewer inspects the dated item record as part of the specialty review path. The named person responsible for approval remains with that evidence.
Expiry allocations connects a sales order line to a lot number, expiry date, quantity and warehouse text. It gives the team a place to review intended lot allocation for a customer order. Inventory positions holds the current owned lot quantity and custody state, while the sales and fulfillment records retain the accepted quantity and actual pick. Those records need to be reconciled in an operating case before staff relies on the allocation to plan shipment.
How the work is organized
- Promotion capture. Industry Specialist records item, discount, start and end dates for review.
- Expiry allocation. The specialist records an order line, lot, expiry date, quantity and warehouse context.
- Operational check. Sales and warehouse owners compare the specialty evidence with approved orders, available stock and actual movement.
What to agree during setup
Agree who owns promotion dates and who checks the commercial price used on a dealer quote. A dated promotion record is separate from the accepted quote’s frozen price and discount basis. The Sales Manager should decide how a promotion is reflected in price-list and quote review before any live offer refers to it. Agree how the promotion record is reviewed alongside the price-list version used for each offer.
Set a lot-entry practice for products with shelf-life attention. Staff should use the order line’s approved demand, warehouse stock by lot and the actual expiry date when preparing an allocation. Decide who reviews a proposed allocation that exceeds available quantity or names a lot held from picking.
Check the handoff on an actual case
Take an item with an upcoming promotion window and a dealer order line due within it. Industry Specialist records the promotion dates and percentage; Industry Reviewer checks the entry. Sales Representative prepares the dealer quote from its reviewed commercial pricing basis, and Sales Manager approves the resulting order. Retain the promotion evidence without treating its percentage as a second automatic discount on the accepted amount.
For fulfillment, record a lot allocation against the order line. Compare its quantity and expiry date with the warehouse position and planned dispatch. If the lot is already reserved or held, the warehouse changes the physical plan before picking. The operator’s actual picked and delivered quantities remain the source for stock and billing, while the allocation helps the team see the intended shelf-life choice.
