What you can do
Separate permission from physical outcome
A return starts with a direction, party, reason and requested quantity. It can represent goods coming back from a dealer or goods sent to a supplier. Warehouse Manager reviews the request against the original net unreturned scope before authorization. That decision permits a bounded physical process; it does not itself receive stock, create a supplier credit or issue a customer refund.
Return lines retain the product and original commercial source. Actual receipt or dispatch records what moved. Disposition then decides how the returned quantity is treated, using the observed condition and permitted outcome. A partial return keeps the outstanding quantity open rather than presenting a request as completed.
How the work is organized
- Authorization. The reviewer checks party, direction, reason, expiry and unused source quantity before approving a return.
- Movement. Warehouse Operator records the actual incoming or outgoing goods and their condition.
- Disposition. Warehouse Manager reviews the physical result and follows the applicable credit or refund decision separately.
What to agree during setup
Agree who may request a dealer return and who may authorize it independently. Set evidence requirements for damaged, refused and expired goods. For supplier returns, identify the original accepted receipt and whether the supplier bill has already been posted. Physical stock value and the commercial credit basis may differ after cost changes, so Finance Manager and Accountant need a clear reconciliation path.
Decide which warehouse locations hold returned goods during inspection and who can release or dispose of them. Keep returned inventory in the right custody state until disposition. A route failure or delivery refusal is source evidence for follow-up, not an automatic return of every shipped unit.
Check the handoff on an actual case
A dealer refuses part of a shipment at a stop. The delivery result records refused quantity. A return request then identifies the order and line scope, dealer, reason and requested amount. Warehouse Manager authorizes only the eligible unreturned quantity. The operator records the actual quantity received back, which may be smaller than the request. The remainder remains unresolved and cannot be credited as if it were physically received.
After inspection, Warehouse Manager records the disposition. Accountant follows the commercial credit and any correction to the original invoice. If a refund is needed, Finance Manager controls that distinct payment decision. Repeating the delivery message or return entry must not produce another stock movement or second credit for the same economic event.
