What you can do
Make the delivery outcome reviewable
The planned trip becomes an operating record as the team captures what happened at each stop. Dispatcher records the stop sequence and location, planned and actual arrival, and departure. Transport Manager maintains the trip’s progress and actual start and end context. Together these records let the team compare the plan with recorded execution.
Delivery evidence holds the delivered date, recipient name and proof attachment under the trip. Pending, Confirmed and Disputed distinguish its review state. Transport Reviewer confirms eligible evidence through the delivery action, which completes the linked trip. Uploading a file prepares the review; the reviewer still decides whether the delivery evidence supports completion.
How the work is organized
- Stop progress. Keep each stop attached to the intended trip and retain its sequence. Record actual arrival and departure when the team has that information rather than copying planned times into actual fields.
- Trip paperwork. Transport documents carry a document type, file and the person identified as verifier. Keep the paperwork attached to the trip so the reviewer can inspect it alongside the delivery record.
- Delivery decision. Dispatcher prepares the delivery evidence. Transport Reviewer checks the trip, recipient and proof before confirming the outcome and inspecting the linked trip’s completion result.
What to agree during setup
Agree what evidence the reviewer expects for the kinds of delivery the team handles. Use an actual recipient handoff to decide how the proof is captured and which paperwork supports it. Establish how document verification responsibility is assigned and how the reviewer accesses the attached files.
Define the working response to disputed evidence. The recorded dispute should lead to investigation and correction through the agreed process before confirmation. Decide who supplies a missing recipient detail or clarifies an incorrect trip association. Keep the evidence discussion separate from a charge approval so the finance team can understand which decision has actually occurred.
Check the handoff on an actual case
Rehearse a trip with an intermediate stop and a final customer delivery. Dispatcher records the actual stop arrivals and departures, then prepares the recipient and proof details on the correct trip. Transport Reviewer inspects the evidence and confirms the delivery through the supported action.
Check that the intended linked trip becomes Completed. Repeat with evidence attached to a different trip and with a disputed case. Resolve the association or dispute before confirming. Ask Finance Officer to read the outcome without changing the proof, then have Transport Manager compare the actual timing with the plan. The team should be able to explain both the delivery decision and the operating progress from their records.
What your team sees
- Delivery Review Queue — Pending delivery evidence with recipient, date and proof ready for review.
- Disputed Deliveries — Evidence needing investigation before a confirmed outcome.
- Trip Status Board — Open trip states and resource assignments for operating follow-through.
Follow the work through
Follow trip execution and delivery, then trip charge approval and posting for the financial handoff.
