What you can do
Start with an effective price
A Sales Representative selects an active buyer, the selling unit and a current price list before preparing an offer. The quote records the buyer, currency, validity date, quantities and net amount. A price list change after acceptance must not rewrite an agreed order. Keep the original promised date on each order line even when a later date is agreed.
How the work is organized
- Source. Keep the approved order revision and its original promise beside every reservation and dispatch.
- Decision. Sales Manager checks the accepted quantity and net value before Warehouse Manager commits stock.
- Evidence. Sales Representative records the buyer’s agreed unit and price; Sales Manager decides whether the offer can become an accepted order.
The Sales Manager reviews an accepted order revision independently of the preparer. A Finance Manager handles a bounded credit exception when buyer exposure exceeds the limit. Only approved order scope can be reserved. The order’s title rule determines whether the subsequent dispatch or delivery transfers ownership. This matters when one order ships in parts: each portion keeps its own allocation without duplicating the accepted price.
What to agree during setup
Agree who can revise a price list, when a quote expires and how a changed delivery date is recorded without overwriting the first promise. Review the roles that can prepare, approve and correct the record. Keep the source revision and its later decisions linked for audit.
Check the handoff on an actual case
For a buyer ordering several lots of bagged material, rehearse a partial dispatch. Check that the approved quantity covers the load, the unsent balance remains open and the later invoice uses only eligible transferred quantity. A rejected quote must not turn into an approved order merely because a stock position is available.
Check a buyer whose credit review is required before approval; only the current approved order revision may receive a stock reservation. Ask the receiving role to open the source and confirm the remaining quantity, decision and event date. Preserve a linked correction if an earlier event needs to be amended.
