What you can do
Locate the owned balance
A stockpile is a physical site, while each stock position retains its legal entity, material, location, custody state and lot where needed. The Warehouse Manager uses these positions to see available and reserved quantity. A pick or transit movement changes custody without creating another owned balance. Sales demand and work orders make bounded reservations against eligible positions.
How the work is organized
- Source. Separate available, reserved and in-transit material by entity and location.
- Decision. Warehouse Manager approves a transfer against the owned source balance.
- Evidence. Warehouse Operator records each dispatch and receipt; a blind counter records observed stock before adjustment review.
Transfers retain one entity’s ownership while material moves between stockpiles. The team records dispatched and received portions separately; the unreceived portion remains in transit with its carrying value. A count locks a defined population, lets the counter enter a blind observation, and routes the variance for review before any authorized adjustment posts.
What to agree during setup
Agree the physical location names, custody rules and count scope before opening stock is accepted. Review the roles that can prepare, approve and correct the record. Keep the source revision and its later decisions linked for audit.
Check the handoff on an actual case
Rehearse a partial transfer from one stockpile to another. Dispatch a quantity, receive only part, and inspect both endpoint positions plus transit. Then enter a count variance at the destination. The count must preserve the observed quantity and decision trail; an unapproved variance must not silently become a stock movement.
Move only part of a reserved lot, receive less at the destination and show the balance still in transit under the same owner. Ask the receiving role to open the source and confirm the remaining quantity, decision and event date. Preserve a linked correction if an earlier event needs to be amended.
A reservation on one location must not make another location look empty. Review stock by material, owner, location and custody state before assigning a load. When a transfer arrives short, keep the remaining transit balance linked to its original source and destination.
What your team sees
- Stockpile availability — Show owned material after current reservations by stockpile and location.
- Transfers in transit — Show transfers with material still in transit.
- Count review queue — Show counts that require variance review.

What it keeps track of
Data model- Materials
- Trade goods and assembly outputs; master values do not rewrite transactions.
- Material units
- Versioned product-specific buy/sell packs and base conversions.
- Stockpiles
- Physical sites may host segregated entity-owned positions; legal owner stays on each position.
- Stockpile locations
- Shallow warehouse bins, staging and transit custody locations.
- Stockpile positions
- Current owned stock by complete identity and custody state; provenance is not a second balance.
- Stockpile reservations
- Exclusive bounded demand claims through picking and owned transit.
- Stock transfers
- Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
- Stock transfer lines
- Partial transfer quantities retain equal in-transit ownership and cost.
- Stockpile counts
- Blind scoped counts with explicit review and cost before adjustment.
- Count lines
- Observed base quantity and signed variance against an unchanged locked population.
- Count locks
- Time-bounded counted scope protecting all identities, including newly appearing positions.
- Stock events
- One immutable group of stock movements and the associated journal effect.
- Stock movements
- Signed position/layer legs; transfers balance quantity and value by SKU.
- Stock layers
- Remaining quantity/carrying value with receipt/output/return lineage.
Who uses it
Permissions- Warehouse Manager
- Owns stock execution and review.
- Warehouse Operator
- Records physical work.
- Finance Manager
- Reviews value-sensitive adjustments.
