How a NGOs ERP rollout works

Set up the operating context and rehearse funding and delivery work.

  1. Establish ownership

Name Admin, Program Lead, Field Coordinator, Funding Officer, Funding Reviewer and Finance Lead. Agree who may decide funding cases and who investigates operation results.

  2. Load context

Create organizations, programs, donors and team records. Confirm currency, location naming and donor relationship status.

  3. Plan delivery

Add projects with budget and dates, then record supported households and current activities under the correct project.

  4. Rehearse funding

Draft and submit a case, record a review decision through Funding Case Review Decision, and inspect its case status, decision and operation receipt.

  5. Reconcile a project

Add fund events and activity history, run Project Funding Reconciliation, and follow any variance or receipt exception.

What the customer provides

Bring organization identities, program and project names, locations, dates and budgets; supported household records; donor contacts; open funding cases; and the people who will own each step. Agree which operating currency applies to the amounts you compare. Bring examples of pledge, receipt and disbursement evidence so the first rehearsal uses recognizable cases.

Changing it afterwards

Change source records with their owner and check the downstream views and reports. A corrected fund event changes the reconciliation input, so rerun the project review and retain the operation history. Review role access when staff responsibilities change. Use the data model to preserve links during later imports.
