What you can do
Dealer sales in daily work
Keep dealer identity, terms, quotes and accepted orders tied to the same commercial promise. Start with a dealer in the correct legal entity. Record billing identity, delivery contact, terms and credit limit. The quote fixes product units, price and currency. The order retains accepted quantity, net amount, original promise and title rule. A held dealer needs review before another commitment.
A quote and order retain the dealer, selected unit, price, currency and original delivery promise. Sales Representative prepares the offer and order. Sales Manager accepts the current order revision after the price and credit checks; Finance Manager decides any bounded credit exception. The accepted order becomes the source for reservation, shipment and billing.
How the work is organized
- Prepare the offer. Sales Representative checks dealer terms, product unit, tariff and tax basis before sending a quote.
- Accept the order. Sales Manager reviews the submitted revision; Finance Manager resolves a credit exception separately.
- Follow the remainder. Sales Representative compares accepted quantity with shipped, invoiced and cancelled allocations.
The same product may appear in a dealer commitment, supplier receipt, warehouse position and invoice. Those records answer different questions. Use the source and event dates to explain whether a quantity is promised, owned, available, delivered or billed. Keep the person who prepared work separate from its required reviewer.
What to agree during setup
Agree who prepares offers, who accepts orders and who decides a separate credit exception. Check that a revised promise remains alongside the original. Keep the dealer billing address distinct from the destination on the current order. Agree which dealer terms and tariff version apply to a new offer. Identify who may change a delivery address after acceptance and how the team keeps the original promise. Set a clear owner for an order held by credit review.
Use a partial shipment in the pilot. Sales Representative should see what remains committed, while Warehouse Manager sees only the quantity eligible to reserve. A later commercial correction needs a new reviewed revision; the first dispatch retains its original order basis.
Check the handoff on an actual case
A dealer asks for a partial delivery of stocked products. Sales Representative records the offer and original promise. Sales Manager approves the current order after Finance Manager checks exposure. Warehouse staff reserve only approved quantity. The first shipment leaves a visible remainder; a later address change does not rewrite its dispatch.
Have the dealer request a changed delivery date after the first shipment. Sales Representative records the new request against the remaining scope, Sales Manager reviews the revised commitment, and warehouse staff leave the first dispatch unchanged. Finance checks the title rule before billing either shipment.
