What you can do
Keep invoices tied to their source
Customer invoices use eligible order and delivery allocations. A partial delivery creates only the corresponding billable scope. The invoice retains its customer, entity, currency, due date, net amount, tax and open balance. Supplier invoices refer to accepted receipt and order quantities before becoming payable. These links let Accountant explain what was billed and what remains.
Actual cash has its own evidence. A customer receipt can sit partly unapplied until it is allocated to an open invoice. Supplier payment instructions remain separate from bank settlement, rejection or return. Finance Manager decides the required invoice and payment releases independently.
How the work is organized
- Prepare postings. Accountant matches the source quantity and amount, then prepares the invoice, bill or journal in the correct entity and period.
- Review decisions. Finance Manager checks the frozen revision, authority and supporting evidence before approval.
- Reconcile cash. Bank statement lines and application records identify actual settlement and the balance still open.
What to agree during setup
Define the legal entities, functional currencies and accounting periods. Activate the chart of accounts, posting profiles, tax codes and exchange-rate sources required by the trading scope. Agree who owns invoice preparation, bank evidence, corrections and final period close. Confirm the source of external bank outcomes before treating a submitted payment as settled.
A correction should retain the original posted record and its reversal link. The team needs a clear cutoff so receipts, stock, receivables, payables and bank balances describe the same period.
Check the handoff on an actual case
Deliver part of a customer order and prepare an invoice for that eligible portion. Finance Manager reviews the amount and source before approval. Record a customer cash receipt smaller than the invoice. Apply it once and verify the remaining invoice balance and unapplied cash. A second allocation should not spend the same receipt amount.
On the purchasing side, match a supplier bill to accepted receipt quantity. Prepare a payment run, review the beneficiary and release it. Do not count the payment as settled until bank evidence arrives. At period end, complete reconciliation tasks, review any currency revaluation, and close only after the entity’s balances agree.
