Pharma material and distribution teams

Material and distribution teams need to know which supplier lot is available and which stock is restricted. A warehouse balance alone cannot answer whether the batch is within expiry or waiting for a quality decision. ERP for Pharma connects purchasing and receipt records with lots, quality holds and stock movements, so the team can investigate a supplier delivery and follow its permitted use. The rollout must test actual issue and shipment controls against those records.

How Pharma ERP is set up for you

Receiving context

Buyer prepares purchase orders and Operator records goods receipts. Quality Inspector reviews pending quality inspection work and the required inspection evidence before acceptance. An invoice arriving from the supplier cannot substitute for the physical receipt or its disposition.

Lot eligibility

The lot retains supplier lot, received date, expiry date and status. Review an Available lot against its expiry and allocation context before use. Warehouses and locations describe the agreed storage categories for the material.

Shipment evidence

The delivery retains the sales-order scope and carrier reference, while each stock movement records the actual Shipment effect. Serial records can link a unit to its lot and delivery where used. Match each movement's lot number to the selected lot and reconcile quantities during a supplier investigation.

Pilot a supplier delivery that requires inspection, a lot approaching expiry, and an approved customer order with partial delivery. Include held stock and a repeated shipment command in the rehearsal. Confirm that refusals leave quantity unchanged and invoice generation refers to the eligible delivery.

Agree supplier-to-vendor mapping because purchase orders reference contacts while supplier evidence uses suppliers. Configure any carrier feed separately and reconcile its outcome to the delivery record. See [inventory and traceability](/erp-for-pharma/modules/inventory-and-traceability) and [purchasing through invoice match](/erp-for-pharma/processes/purchase-to-invoice-match) before importing open work. A distributor using the production module should scope that additional workflow explicitly with its accountable planner.
