What you can do

Keep a lot identifiable when its location changes

Each lot preserves the product, supplier context, received date and expiry of material received or made together. Inventory describes quantity on hand and allocated quantity by product and warehouse. Each stock movement records Receipt, issue to work in progress, Completion, Transfer, Scrap, Adjustment and Shipment effects, including the movement date and reference identity. These records provide the basis for reviewing what was received, consumed or shipped. Match each movement’s lot number to the intended lot and reconcile its quantity.

How the work is organized

  • Availability and expiry. Review whether each lot is Available, in Quarantine, on hold, Consumed or Expired. Review expiry date alongside quantity on hand and status before committing lot-controlled material. An Available status alone cannot establish that the material remains within its expiry boundary on the movement date.
  • Reservation context. Each reservation retains product, warehouse, quantity, need date and the sales order or work order demand. Its linked lot identifies a specific allocation. Compare allocations with free inventory so the same quantity is not promised to competing demand without a reviewed policy.
  • Physical evidence. Match each movement lot number to the intended lot; serial records can link the lot, production order and delivery. Locations identify bins, docks and quarantine positions within warehouses. Reconcile the recorded links and movement quantities on an actual supplier investigation before extending the operating scope.

What to agree during setup

Agree a unique lot-number convention and how imported supplier lot values relate to local lots. Review expiry comparisons, missing dates and quarantine handling with Quality Inspector and Industry Reviewer. Rehearse refusal of an expired or unavailable lot with actual role accounts before use. Decide how count variances are reviewed through count lines, count plans and approvals. Agree the storage category for each location. Check the agreed storage zone before placing the material in a location.

Check the handoff on an actual case

Follow an incoming material lot into inventory and a reservation for a work-order requirement. Compare quantity on hand with quantity allocated, then attempt an issue to work in progress movement using the wrong product or an expired lot. The command must refuse either mismatch and leave the stock balance unchanged. Repeat with an on hold lot whose quality disposition is unresolved; a production requirement cannot waive that hold.

Next, inspect a finished lot linked to the producing work order and a serial record linked to its delivery. Compare the actual Shipment movement with the customer order and invoiced scope. Repeat the shipment request and check that no additional stock deduction occurs. Match the lot number on each stock movement to the intended lot and reconcile its actual quantity. Review the full case with the quality owner before using the same records for a wider supplier investigation.

What your team sees

  • Lot status and expiry — Industry Reviewer and Industry Specialist review lot status, expiry and remaining quantity.
  • Held material — Quality Inspector follows the holds that restrict physical use.

What it keeps track of

Data model
Lots
A quantity received or made together: supplier lot, receipt date and expiry, traced through issue, production and shipment.
Inventory
On-hand stock per product per warehouse.
Stock movements
Every physical movement of stock - receipt, issue to WIP, completion, transfer, scrap.
Reservations
Stock reserved against a sales order or work order need date, hard to a lot or soft to a quantity.
Serials
One record per serialised unit: its lot, the work order that made it and the delivery it left on.
Warehouses
Physical storage locations including raw stores, WIP buffers, and finished-goods warehouses.
Locations
Bins, racks, line-side positions and docks inside a warehouse, with the zone an item may be restricted to.
Count plans
A cycle count or a full physical inventory: the warehouse, the ABC class it picks, when it runs and who approves the variances.
Count lines
One counted item and location: the book quantity, the counted quantity and the variance waiting for approval.
Products
Catalog of all items: finished goods, sub-assemblies, raw materials, components, and consumables.
Deliveries
A shipment to a customer against a sales order: picked, packed and sent with the carrier reference, and the lots and serials on it.
Quality holds
A hold on a lot, a receipt or a work-order operation: nothing on hold can be issued, shipped or completed until the disposition lifts it.
